The front desk is the point of initial contact for all BlackDox clients. First impressions leave a lasting impression on both existing and new clients. In order to project the kind of image BlackDox can be proud of it is important that all Reception staff adhere to the following guidelines.
• Keep the reception area clean and inviting for clients
• Acknowledge each client as they arrive in a welcoming manner. Should you be on the phone at the time or entry nod and smile so the client knows you are aware they have come in
• Greet all clients with a smile and appropriate salutation
• After the client identifies him/herself and who they are there to meet advise them that the associate will be out soon and direct them to the seating area

When sending mail remember to use professional language, tone, content and subjects. The use of respectful, direct responses and questions is especially beneficial. Please refrain from using informal terms or slang as it not only reflects poorly on the writer but on BlackDox as a company.
Interoffice Mail
Interoffice Mail is generally delivered by DHL at 9:30am daily.
Interoffice mail is often time sensitive, best practice dictates associates reply to interoffice mail in as timely a manner as possible. If written responses are required they should be brief and to the point.
Interoffice Mail will generally be picked up by DHL at 4:30pm daily. Should a time sensitive document require an earlier pickup you call DHL to schedule additional pickups as needed, all additional pickups must be billed to the correct department.
External Mail
External Mail is more fluid and will arrive via Canada Post or courier companies throughout the day. All outgoing External Mail will require a call for a pickup for courier items, please remember to bill the correct department for all External Mail shipped by courier.
