Brookshire Grocery Company Brookshire Grocery Company has always operated under the “people first” commitment. This has helped the company to 150 supermarkets, 3 distribution centers and 13,000 employees. They have basically out grown the system they have. To support the growth the legacy system need to retire and new business process and data software needs to be pursued. They chose SAP ERP Human Capital Management software to improve their HR processes. The legacy software was not integrated to the company’s payroll so everything had to be rekeyed concerning employee’s time information. Reports were also time consuming, which required IT to compile information from spread sheets across the entire company. Payroll tied up the software for a day and benefits were just as difficult. Employee enrollment was on index cards at each location. Information was everywhere, with no way to track audit trails or processes. They had to change the whole management program through training and ongoing communication. They also had to get a dedicated team that would support the business needs, to make decisions and were also named as point of contact after going live. The reason SAP was selected because it was unified software that would integrate all of the business processes. Which this enhanced business intelligence functionality. SAP was a great commitment to the retail industry. SAP was developed due to the fact it required no additional customization. Finally it had the easiest enhanced business functionality. They also felt that the reduced level of support by IT to create and run reports. It would increase self-sufficiency of the HR department concerning monthly reports. It also had the less minimized software concerning customization and modification that would be required in the future. They had to hire an implementation partner fulltime to work with the internal team of all divisions. The team followed, reviewed and improved processes to maximize productivity and help to stop software modification once the button was pushed. This also took a lot of communication with partners, meetings with stakeholders and a lot of training all thru the company to make sure the end use was positive. The new system increase productivity by stopping manual work in all departments. These also brought everything into a single source of information which would eliminate duplication. They improved data access and visibility with the new and improved reporting. This then gained better insight by integrating payroll with the financial backend. This improved the consistency of HR guidelines and practices by having everything in one central location. Finally it lowered time to payroll updates which included promotional and sleekly payments. This took the company from the old time clock system ti a centralized time evaluation. With the new system payroll has been able to reduce staff. Payroll processes can now be ran in the back ground without interfering with the normal daily business. They have also been able to eliminate over 700 reports which have dropped the total cost of ownership. The benefits of the SAP conversion included reducing full time payroll staff from 7 to 3. It also assisted in the increase of productivity of the staff and reduced the manual reports. It also assisted in the reduction of run times on reports from 2 weeks to 1 hour. Then the time to process payroll was reduced by 3 hours. So the implementation will reduce work time drastically and improve the profits to all division. Now that the new software is running smoothly the company they can focus on building more workforce management, partners and managers. But until that time comes they can go back to the focus on what they did best, which was servicing customers. With the new system we are better able to set better sites on caring and giving are customers what they want.
