PROJECT PLAN MAIL DISTRIBUTION CENTRE

PROJECT MANAGER: Geoff Blackland
START DATE: 01/12/2015
PURPOSE: Develop a new staff recruitment and selection process for mail distribution centre.
TIMELINE: Three months

REQUIRED STAFF FOR PROJECT: Henry Smith (Human Resources), Roger Tucker (Mail Distribution Manager) & Janine Taylor (General Manager) Interview Panel (to be advised)

Stage 1 of the Planning Process:

1) Select the Interview Panel and block out appropriate times to conduct the interviews. Ensure interviewees have had training and know their role and responsibility in the process.
2) Determine how many interviews you would like to conduct later in the process. Book interview rooms depending on availability.
3) Analyse job requirements and develop a recruitment plan to determine the requisite knowledge, skills and attributes. Further information on this if required is available in the form of an information booklet
4) Develop Key Selection Criteria – refer to booklet for How to develop Key Selection Criteria.
5) Develop or revise position description – refer to booklet Developing or revising position description
6) Develop interview questions - refer to booklet preparing for interviews.
7) Develop scoring criteria for short listing and other selection techniques to be used.

ROLES, RESPONSIBILITY AND WORKING TIMELINES:

Select the Interview Panel. Geoff Blackland and Roger Tucker this will need the attention of your experience, Roger being the mail distribution manager it will be required that you evaluate the day to day operations of your current staff members and understand the total skill sets needed of the staff members. In order to proceed to the next stage your findings and recommendations are required by Friday 14/12/2015. Determine how many interviews you would like to conduct. Henry Smith and Roger Tucker we will need you to work in conjunction with each other and your team to complete this task by Friday 14/12/2015. Develop recruitment plan, Henry Smith the recruitment plan completion date description first draft 19/12/2015 and description final draft 21/12/2015. Develop Key Selection Criteria, Geoff Blackland and Henry Smith will need to be finalized by the 08/01/2015. Develop or revise position description Roger Tucker you will work with Henry Smith this will be you responsibility come the time we agree to advertise. Develop interview questions, this will require the attention of all team members. Develop scoring criteria, this will require the attention of all team members.

Stage 2 of the planning process

Identify and attract a pool of qualified candidates. Please consider the following:
1) Develop a good understanding of your target audience
2) Understand the general trends in supply and demand for the skill set you are recruiting.
3) Know your competition. Are other organisations currently recruiting for or terminating employees for a similar role.
4) Market the vacancy. Consider what best ways we can market the vacancy.

Identify and attract a pool of qualified candidates, under the guidance of Henry Smith the recruitment team will have this task completed by 16/01/2015.

Stage 3 of the planning process
1) Record and acknowledge applications
2) Shortlist and screen candidates
3) Advise successful and unsuccessful candidates of shortlisting outcomes
4) Arrange and conduct interviews
5) Identify best applicant
6) Appoint successful applicant and advise unsuccessful applicants providing feedback for future success

ROLES, RESPONSIBILITY AND WORKING TIMELINES:

Record and acknowledge applications, Henry Smith along with your recruitment team will have this task completed by 30/01/2015
Shortlist and screen candidates, Henry Smith along with your recruitment team will have this task completed by 06/02/2015
Advise successful and unsuccessful candidates of shortlisting outcomes, Henry Smith along with your recruitment team will have this task completed by 13/02/2015
Arrange and conduct interviews, Henry Smith along with your recruitment team will have this task completed by 20/02/2015 Identify best applicant, Henry Smith along with your recruitment team will have this task completed by 24/02/2015
Appoint successful applicant and advise unsuccessful applicants providing feedback for future success, Henry Smith along with your recruitment team will have this task completed by 27/02/2015

Stage 4 of the planning process

1) Arrange a structured induction process
2) Arrange for a buddy
3) Obtain formal feedback from the new employee
4) Monitor and manage probation period
5) Evaluate selection processes

ROLES, RESPONSIBILITY AND WORKING TIMELINES:

Arrange a structured induction process, Roger Tucker as the Mail Distribution Manager this will be your responsibility to ensure that the new employee is inducted into their new position correctly and will be completed fully by yourself within the first week of employment commencing.
Arrange for a buddy, Roger Tucker you will assign a buddy for the new employee to work alongside to support and provide the new starter with guidance and information to assist their transition into their new role. This will be an ongoing role for the first 3 months of employment.
Obtain formal feedback from the new employee, Roger Tucker as Mail Distribution Manager you Are required to obtain formal feedback from the new employee after the first month in the role and manage any job expectations or problems which arise.
Monitor and manage probation period, Roger Tucker the probation period for this particular role will be 3 months from the date of commencement in which after the specified time a probation report will be completed and a copy of this report will be given to Janine Taylor and Henry Smith for further discussion.
Evaluate selection processes, a full team meeting will be held after the successful appointment of candidate to identify any improvements that can be made for the future selection and recruitment process.
