Software requirement document (SRS) is a requirement document that specifies the purpose of a system and what it must do. The Federal university of technology, Adamawa intends to automate its hostel application process by installing an Hostel management software. In the school, there are two type of hostel namely Wing hostel and block hostel. In the wing hostel, they are wings and the wings have floors and the floors contain the rooms. For the block hostel they are blocks and the blocks contain rooms. In the manual system, a student interested in hostel approach the portal, the portal give the student a form to fill. If a student is applying for a wing hostel, the student chooses the wing, select choice floor and from the floor selects choice room. If the room is available i.e the room has a bed space, the student get the allocation and if not the portal ask the student to make another selection. And for the block hostel, student select block and select a room in the block. When the student is done with the filling of form, the portal go through record to ensure that the room has not been previously allocated. The software (Hostel management) is to automate the process involved in booking a hostel accommodation in the institution and the allocating of space to student. The proposed system will have two interface; admin interface and student interface. Admin interface will be visible to the school administrative staff only, while the student interface will be visible to student. The admin interface will be access via a username and password given to administrative staff. Student interface will be access via an access card which student will purchase from school management. Through the admin interface, an administrative staff can input information about a hostel into the system. When information about an hostel is added to the system, the hostel then become available for booking by student. Also when a hostel is been renovated or not available for booking, the admin staff can proceed to the system and change the availability status of

the hostel to not available and once that is done, the hostel will not be available for booking. Same can also be done for blocks or a particular room. Also the administrative staff can view the number of room available and for the booked room; the admin can view its occupant. Information about hostels will be saved in the database available with the system. The admin staff can also de-allocate a room from a student if need arise. Student’s should be able to apply for a bed space in a particular hostel of their choice and change their hostel via the system. Student can access the system via an access card with pin, sold by the school authority. For a student accessing the system for a first time, a registration is required during which the student will provide their academics details and others details as required. After the registration, the student will select their hostel choice from the list of hostel available, select their choice block and proceed to select their choice room from the list available. Only available hostels, blocks and rooms will be shown to the student. After the selection, the student will print out the confirmation page, with which the student will proceed to the portal and pay their hostel fees and dues. Payment must be made 48 hours after application, else the space will be de-allocated. And if the space is de-allocated, the student will have to purchase another access card and re-apply. Student can change hostel once in a semester. The room space will be a session after which every student allocated a space in hostel will have to re-apply for a space. All student activities will be carried out through the student interface.

System Analysis
System Summary: Hostel Management System is an application that facilitate student to book hostel, change their current hostel and also enable the school authority to generate pin that will be used by student to book hostel. The Application is a desktop application. Scope: The application can be deployed in any higher citadel of learning to automate their hostel application process. Technologies To Be Used: The application is to be developed using java programming language having Microsoft SQL Server 2005 as back end.
