Introduction
In today’s world, not much can be done without technology which is now an essential ingredient for successful business or modern organization. As a result of advancement in technology, web conferencing is evolving very rapidly giving businesses opportunities to reap its benefit. Today organizations are adopting the computer conferencing to realize a number of benefits. However, an organization may spend a lot of money and time to invest on the modern technology and equipment, and still not benefit, as it ought to. Internet-based or the web conferencing is a mode of communication that refers to as real-time communication. In web conferencing many computer users can connect to the internet and view the same screen with a presenter giving information as the case may be. The systems are characterized by texting, voice over IP, and video in full motion. The system allows the users to hold their business meetings, do their presentations, and provide customer care and education services among others. The attendees may transmit the control from one to the other as we can only have one main presenter at a time. In order to have the web conferencing effective the organization requires every user have a high-speed internet connection, installation of supporting software and personal computers with the specifications to support web use. This case assignment speaks to how we help our organizations to use Internet-based conferencing safely and effectively. The web conferencing or the internet based internet conferencing can help the organizations embrace the modern technology but should be done in a safe environment with the internet having many security threats nowadays.

Basic capabilities of computer conferencing:
Compute web conferencing come with a tremendous variety of features and capabilities. Some can merge with a company's existing e-mail, calendar, messaging and office productivity applications. Some allow attendees to view the presentation in their regular web browser without installing any additional software such as office communications systems (OCS) used in my office.
With telecommuters and outside contractors now serving vital roles in most small to midsize companies, it has become increasingly necessary and crucial to be able to meet face-to-face with people without physically transporting ourselves around. Video-based conferencing services have evolved to meet this demand, making it easier than ever to share documents, demonstrate software, and work collaboratively on a shared whiteboard from the comfort of your desktop PC.
There are different videoconferencing systems available for business to choose from such as: e/pop, Adobe Connect, Cisco WebEx Meeting Center, Citrix GoToMeeting, and Fuze Meeting--for a spin. Many of the features and services are similar; each brings unique benefits to the virtual table. (Strohmeyer, n.d).
What Internet-based conferencing do best
Internet-based conferencing provides numerous benefits to business, organization, and government in area such as: remote online meeting rather waste money on travel. Desktop and application sharing. The ability to present information through PowerPoint Presentations, Excel Spreadsheets, online demo of product and services leading to increase in productivity and saving time usually spent coordinating with clients, employees, and customers. It helps to improve customer support and relationship. For example, web conferencing solutions can provide support team more ability to take control of a client’s computer and fix problems in a more efficient and timely manner.
In spite of all the benefits explained above, the biggest web conferencing benefit is that it allows an organization to act without geographical limitations and in that an organization can manage and run all its operations through internet-based conferencing.
What Internet-based conferencing does not do so well
Internet-based conferencing does not do well with cultural issues and interpersonal relationships as many people are uncomfortable with new technologies which have involved internet-based conferencing. Going from in-person meetings to web meetings must be well managed, like any other significant business change. Also Internet-based conferencing is not suitable for all types of gatherings. Human contact plays an important role in relationship building with customers and suppliers and should not be underestimated. There is no substitute for a face-to-face contact, particularly at the start of an important business relationship.
Conclusions can we draw from the experiences of the companies mentioned here?
Tindall Corp engaged web conferencing and reduces travel time and expenses which was becoming costly and time-consuming and attempt to encourage employee collaboration. Though they did this but they still could not convince everyone to abandon travel as some employees chose their jobs in part for the travel. (Tierney, 2009)
What we know about organizations that would either encourage or discourage conferencing?
Travel costs would encourage conferencing. “Companies that deploy Web conferencing expect simplicity, reliability and ease-of-use as the most important features,” Nath said. “Recently, however, integration with audio conferencing, high-quality webcam-based video and mobile connectivity is becoming increasingly important in Asia-Pacific.” (Tierney, 2009)
“But for widespread adoption of Web conferencing services to occur, the technology needs to evolve to address the challenges of both large and small business users, Frost & Sullivan said. One such challenge is that awareness about the benefits of Web conferencing among potential customers is still lacking, the company said. To spur adoption, Web conferencing vendors need to seamlessly integrate telecom providers and other channels into their sales strategy, Frost & Sullivan said Amy” (Tierney, 2009)
Using internet-based conferencing safely and effectively
As free as we might think web conferencing is, it involves risk. While virtual meetings liberate companies from the financial and logistical complications of face-to-face conferences, they also place confidential company information in an environment vulnerable to rivals and hackers. Trade secrets, employee records, product knowledge and earnings projections are some of the information commonly shared during Web conferences and sharing this information online makes it vulnerable to theft. During a Web conference, data is temporarily stored on a shared Internet server. The primary risk of Web conferencing is the possibility that this data will leak beyond the realm of the conference and become accessible to hostile parties.
That's why measures such as Secure Socket Layer (SSL) encryption, non-persistent data flow and intrusion control are essential to protecting data transmitted during a Web conference. First, the data itself is encrypted with SSL technology, ensuring that it'll be unreadable by anyone other than the intended recipients should it fall into the wrong hands. To prevent its falling into the wrong hands in the first place, the encrypted data can be placed in a constant state of migration, or switching, from the conference host's computer to the attendees' computers, rather than being persistently stored on one server. This non-persistent data transfer is similar to a telephone network, where data originates on the network but doesn't remain there.
Finally, intrusion control works like a security guard with his search light, which constantly scans the network for non-authorized users and denies access to these users by shutting down a transfer port.
Tips on using internet web-based conferencing:
Before your conference begins make sure that only the people you want to attend are able to attend. It's important not to publish meeting titles or otherwise publicize your conference, so as not to tip off hostile parties that the conference is happening. It is important that you send e-mail invitations over a secure e-mail server to make sure they're not intercepted as secure invitations are your first line of defense against unwanted intrusions. Also maintain a strict policy regarding passwords for entrance into the conference. Limit password authentication attempts to stymie would-be hackers. Authenticate both voice and Web access to the meeting. Not all the information presented during your conference needs to be made available at all times, nor to all parties. Before the conference begins, your company should agree what information is confidential and what information isn't.
Tips on handling information access:
Assign different participants different access levels based on their need-to-know status, agreed on before the meeting. Don't make all the information available at once; release access to information at different points in the meeting. Don't pass information via an instant-messenger service and don't allow video recording of the conference.
Data Protection and Storage
Your data is the lifeblood of your company and needs to be protected at every stage of the Web conferencing process. If you're using an outside hosting service, make sure that the vendor's security policy is in line with your company's needs. Hosting the conference on your own server is ideal, but not always possible. As the number of vendors offering Web conferencing services has increased, they have begun to make security a priority.
Summary
Technology has come to say and through it there have been a lot of revolutions in the business world and one of the revolutions experienced in many organizations is the use of Internet-Based Conferencing which apparently his saving businesses travel time and money while helping to increasing team productivity among the employees. Conferencing conducted through the Internet helps in removing the barrier that results in getting the right people and especially customers at the right time. Most of the stakeholders in an organization prefer this method of holding meetings to the previous ones because they can share and open various applications presented by other members. Businesses now enjoy benefits such as costs cutting and extension of market research and other benefits. The area that internet based does not do so well is the role of usability. In spite of the freedom of using the internet-based conferencing there is a need to offer more security in the meeting that takes place on the Internet. This is because there are many hackers who may interfere with the proceedings of the meeting through applying of viruses on the system. Moreover, an organization may be making some of its confidential analysis on the Internet-based conference and therefore there is a need to have total security in place.
