Outdated Computers
The company’s current computer equipment situation is older than five years. They can no longer keep up with the current updates and programs needed to run a successful operation. There has been several hours of downtime and crashes that the techs has had to go and fix only for them to break down in another area. As soon as the techs get one area up and running another goes down.
Using this analogy; once you replace an engine in a vehicle, the transmission is soon to follow. Why is that? It is because those items were built and installed in the vehicle at the same time, therefore they will more than likely go out at the same time and if they don’t, they will within a six month period. Same goes for computers and servers. All the parts were built pretty much at the same time, installed at the same time therefore will go out at the same
Current Situation
Considering the current situation, the techs are spending a lot of time away from other essential duties to keep these machines running. The costs of these repairs is costing more than what it would cost to buy new machines. * Tech time amounting into hundreds of hours * Employee productivity down * Repair costs are up * Loss of customer service * Crashes, blue screen of death * Non supportive operating system
If the situation remains the same, the repair costs, loss of customers, loss of productivity will suffer thus losing the company surmountable time and money. Employee productivity and moral will suffer as well.

Project Plan
The details of this proposal would be to invest in new updated computers. With the cost of repairs running up a big bill, it would behoove the company to purchase new computers including new and current with the times operating system. Large hard drive to be able to hold larger files and documents. Enough ram speed that would breeze through programs without blinking an eye.
The goals of this proposal is to get new computers in place up and running before the end of the quarter. This will be our biggest selling time with the holidays coming up, we don’t want to be lagging and don’t want the customer to purchase products elsewhere. With new equipment, we will be able to enhance the automation system, speed up customer orders and billing procedures along with quiet efficient running systems that are not loud and running hot.
Phase One * Form a meeting to decide on how many computers to replace at one time * Contact different computer manufacturers for bids and decide on most efficient and deadline on when these units will be built to company specs * Discuss on which units will be replaced first. * Set up a meeting with upper Management and Executives to discuss costs
Phase Two * Discuss and set up technician time and costs for installing units * Check for adequate space and power to each cubicle and adjacent offices * Discuss with employee personnel on the upgrades and new software added and he intended goals * Set up a second meeting with upper management and executives for approval purchase
Phase Three * Purchase and install units * Do a test run on all units to ensure that all is going well * Train employee personnel on the new operating system and software * Make sure that IT Helpdesk is updating on any issues that may arise
Costs and Benefits
The comparison on the current data pulled, will be saving approximately $127,000 per quarter compared to the previous quarter that totaled more than $139,000. Along with the savings in technical repairs, employee production loss and customer missed calls, the new equipment will benefit all parties concerned.
We estimate the cost per unit would be at $500, each unit will be installed with the current operating systems and basic software. We already have the updated software for phone, sales, and operations that will be compatible for the operating systems.

Call to Action
In this conclusion, installing new computers will be a major benefit for the company. The tech hours will decrease leaving them to work with the programmers to maintain the system software and keep the company ahead of the game. The employee loss time will be at a minimum, customer service will be up along with better profits at the end of the quarter and end of year.
New computer equipment will function to the highest capability. Improved ram speed will pull up more intense software faster, no lag time. Larger hard drive will hold larger files without having to use a server as much.
