Reflective Report From the very beginning of this semester we are being taught how to write a proper project for something. So from the first class we have been shown that to write a proper project we will have to follow certain criterion. This criterion will make the project look proper or perfect. With the support of our honorable course instructor we were learning the steps of writing a project.
From the very beginning we have been told that we will have to make a project during the semester within a group. There will be five members in each group. So we made our group. The most important thing is that we had been told we will have to complete the project within five lac. The money can be less than five lac but can not exceed five lac. So we started our project called awareness campaign on organic farming.
In the first class we have been taught the initiation steps or stages of a project of a project. The first initiation was goal. A goal or objective is something which we want to achieve in the future. Goal is a future stick matter. We set goals to achieve in the future. As our project was awareness campaign. We have set our goal like making people aware about organic crops and organic seeds. So our project goal is to make people aware through campaigning.
The second phase is brain storming. Brain storming is something that will help us to get information within our group members. From doing brain storming we have got many kinds of information from ourselves. It helps us a lot about how to start off the project writing.
The third phase is scope define. It is very important for our project in fact important for every kinds of project. Scope means whether we will be able to do the project or not. We defined our scope like we will be able to do the project because there are many persons who like to have chemical free foods. Generally the can not have those, because everyone is using chemical on their farming land. So we thought we will be able to make them aware. If we can show them the effect of hybrid seeds and the effect of organic seeds. Then they will see that organic seeds are much more important to health than hybrid. That is how we defined our projects scope.
Last phase of initiation steps is required resources discussion. Here we discussed what kind of resources we will be needed while doing the project. Like money, man power and many more.
Without which we can not go on doing the project.
Feasibility: In feasibility test we were told to do survey and discussion and pre project discussion. By doing all these things we can say whether this project is feasible or not feasible. If we do this three test then we will be able to say that is the project can be done or can not be done. There are three points of feasible like money, man power and time. Without these things we can not do the project. We will have to have time, man power and money to buy project related materials. After doing all these things we have seen that our project is feasible within the time period given by our course instructor.
Groups: we had been taught that there are two groups of a project. These are user and functional groups. In our project user groups is the people who will be benefited by our project and functional group is we the group members who will make the project done.
Work breakdown structure means that we will have to identify the major works. We have identified our major works for the project. It is divided into three major works these are, planning and collecting funds, select the location, and organizing seminar. That is what by which we have done our work breakdown structure. We have been taught how to select resource, location selection, and preparation in work breakdown structure. Here includes finalization of the project, location, schedule, and many more. Budget also includes here. Our budget will be within five lac. We have selected our village as a project area. That is what we have been taught in here.
I have also been taught how to define whether a project is a finance project or a non finance project. We are not getting any profit that is why our project is non project finance. If anyone sponsors our project then they will also not be getting any profit out of this project. For this reason our project is non project finance.
We have been taught how to mitigate risk in a project. There might be different kinds of risks. We also have different kinds of risk in our project. These may be liaison risk, unavailability of trainer, mike, meeting place, and many more. We have been taught how to mitigate these kinds of risks. There are three methods of solving these kinds of risks. These are delegation of risks and direct actions and ignorable. There are also three types of risks and these are crucial risk, nominal risks, and finally ignorable risks. We have been taught that crucial risks are those risks that might affect out project the most. Nominal affect out project a little bit and ignorable is what we can ignore. Ignorable is something we can do nothing about it. Nominal risks might be imperfect weather and flood and many more. We also have been taught what kinds of risk fall under which level of risks. We also have been taught why this type of risks fall under this type.
We have been taught how to define activities that is to be done in a project. In our project we have different kinds or activities. These are select location, accommodation, food arrangement, testing land, meeting arrangement and many more. Without these activities we cannot run this project. We have been taught what to do if people do not come to the meeting. For this problem we can offer the incentive of free seed for organic farming. We cal also give them money to come to the meeting or we can give them winter clothes for coming to the meeting. That is how we can attract people to come to the meeting that is how we can also mitigate the risk.
We have been taught how to set questionnaire for user group. We will have to ask them question to get information form them. This can be very helpful for us to do the project. That is why we were told to set questionnaire. That is why we set our project question as per this rules.
We have been taught how to make dependency graph and what is it. We were told to make the dependency graph for the project. It is the descending order of work schedule. We have been taught that it should be like what kinds of work is to be done after which kinds of work. We were also told that one work cal be linked up with many sub tasks. It is a series or work. We were also told that we should add the beginning and ending time with each work, it should be within three months.
We also have been taught proforma statement. It should include income statement and a balance sheet. In this statement we will have to state that our project expenses, income, asset and also liability. We were told that as our project is awareness campaign we will not to make any income statement we just will have to make a balance sheet for the project. That is how I have made the balance sheet.
Then come the allocation of resources. In these steps we were told to identify our resource allocation sector. We have shown which sector will get money and which one will get no money. Along with this we were also told that we will have to add the person who will do that particular work and the allocation of resources those sectors are getting. That is how we have allocated our resources for the project. We have shown the time limit and persons who are engaged with this work.
Finally I can say that we have been taught many things regarding making project. Like how to set goals, how to define scope, how to define objectives and location. Scope includes that whether we can do the project or not. Goals include what we want to achieve out of the project. We have been taught hoe to set budget and allocate resources for the project. Resources should be allocated perfectly for the project so that there is a balance in the project. Every sector of the project should get proper resources so that those particular sectors can be done in a positive way. That is the way how a project should be done and we have been taught how to make a perfect project using all these things in a project.
