SECTION ONE: INTRODUCTION
The purpose of this Request for Proposal (RFP) document is to identify the software arrangement and business process that will allow Simple Getaways to address their change management needs as well as streamline their internal processes most effectively.

Section Two: Current Software and Hardware As of today, Simple Getaways is utilizing a Windows Server fileserver to maintain login credentials specific to each of their twelve offices. Each office has their own Microsoft Exchange server to handle e-mails. As such, Simple Getaways effectively has 12 environments to maintain, both hardware and software license-wise. Communication via offices is not streamlined; while documents can be emailed, internal documents are still handled with physical paper, even though each of the employees have a Windows-based system with the Microsoft Office suite at their disposal.
Overview of Challenges Current limitations of their software solution cause the largest issue to be incorrect data being propagated through the company. Because of a lack of change management tracking within their current software set, it is possible for key stakeholders to be working concurrently on a document while being completely unaware of another coworker’s version change. Pushing data is reliant on email communication, which can be taxing on the exchange server and local machine caching and archiving especially with large documents. Some employees still rely on paper and the postal service, especially for administrative and human resources actions, which can be unreliable for time sensitive information.

The stakeholders at Simple Getaways in respect to this RFP are the office staff, management, human resources, and the customers of Simple Gateways.
