Service Request SR-rm-022, Part 1

According to "Smith Services Consulting Incorporated" (2011), Riordan Manufacturing requests that we provide them with a “more sophisticated, state-of-the art, information systems technology” in their Human Resources department (SR Number, SR-rm-022). To ensure that we reach our goal, we will need to interview all of the key stakeholders and look at all the current systems that Riordan Manufacturing is using to consider what information will be required and needs to be collected. We have to make sure that we discuss the key factors and provide the best information to them in an effort to receive the required information back from the stakeholders. This will help get us the tools we need to create a project management system that will help us organize the information properly so that everything is covered.

Key stakeholders in Riordan Manufacturing we would gather requirements from? To ensure success we would first start by collecting information from the very top of Riordan management, including; President and CEO, Dr. Michael Riordan; COO Hugh McCauley; Director of Human Resources, Yvonne McMillan. She will be instrumental in helping us know exactly what is expected of the new system, how it will be implemented, who made the request and what deadlines will need to be met. Next, we will gather information from the Director of Human Resources Yvonne McMillan, who directs and coordinates human resources activities. Her feedback will help us with the new system and how it should work and she will be pivotal in teaching the system to users. To ensure that the system stays within the budget, it will be important that we discuss this matter with Chief Financial Officer Dale Edgel because he directs the accounting, finance and HR system. Chief Information Officer Maria Trinh develops long term system goals and will be an important stakeholder to discuss maintenance and implementation of the new HR system. Lastly, Chief Legal Counsel Lowell Bradford will help with advice on Riordan's legal department and ensuring that the system is within legal boundaries.

Information-gathering techniques and systems analysis tools proposed. When starting a new service request we have to make sure that no information is overlooked. Information gathering tools have to be pertinent to how and what information is collected. The new system must meet all the requirements set forth by all the key stake holders. The beginning stage of the information gathering stage has to be made up of identifying information sources. The biggest part of your information should come from the employees that use it the old system and will also use the new system. The employees can help identify what has been working in the old system, what they feel will be a better system and give past information gathering techniques and the information that has been provided by that system requirement paperwork. Information provided to employees such as reports, employee manuals, rule books can be great way to gather information. Once the information has been reviewed you have tool so that you can properly identify sources that will then can help with the identifying of what new system can be implemented. Once you determine the problems with the old system with the information provided by the current users. This information will help develop the system requirement specifications or SRS, this is a tool that help with the specific information that will be provided and can also be used to detail specific design of the new system. The SRS should be completed before any other steps are taken. The information provided by the SRS has to be very detailed in calculated information requirements, politic and operational. This will eliminated future problems between the operator and the maker. Key factors that will ensure the required information is gathered successfully. Their are many way to gather information that can be done. The information can be obtained by interviewing all the staff starting at the top. Interviewing is not the only way that can help gather information, focus groups can be made be having personnel from high level executives down to the everyday staff. Information can be gathered much faster than having a one on one discussion with each individual. The one on one should only be used with all the key stake holders because they have the most power in the final implementation. Focus groups will also allow for more incite on how the information is passed down to the employees and how well they understand it. They can also have case studies which allow the developer to go thru a step by step scenario of the system this would help with pin pointing potential problems and determine what works well and what needs to be resolved. Building a mock up of the system will help the new users test out the system and get an idea of how the new system will be like after it is implemented. By doing this they can tell you what the feel is wrong and what they like or do not like about it and what inconsistencies they see. Their should be a proper order and categorizing of the information for it to be able to be of any use. It should be organized by function of requirements, operation requirements, technical requirement and transition requirements. The function requirements would help with how the user of the old system will think of it and its over all fiction. The operation requirements will help with the processes that need to be done so that the system will work for all. The technical requirements will help with the technical uses and issue that have to be made to successfully put the new system in place. The transition requirements will help with the new system, this will show a step by step way to implement the new system, and a proper timeline in which to have the system in place.

Explain what project scope is and why it is important. Describe the areas of project feasibility that are examined in the analysis phase of the SCLC. The project scope is a big element to any project that has to be done. It is used to give the project manager an outline of what results will have to be achieved in order to have a successful outcome. All of the parties involved have to be in agreement with all of the project scope. The agreement has to be made before the project can move forward and all the information needed to be collected.
1 Justification: Why does this project need to be done and how will it affect all the other parts of Riordan. What are the business need that need to be taken in to consideration.
2 Objective: What is the out come that Riordan wants to achieve with this project.
3 Product scope description: What are some of the features that need to be in the system. What functions need to be in the product, service, and result.
4 Product acceptance criteria: What are some of the criteria that the requester has made.
5 Constraints: the limits and restrictions that need to be made, and a proper timeline in which they need to be completed.
6 Assumptions of the requester: what does the requester see as a good system and what do they think of it. After you determine the scope of the project it is of high importance that you determine of the project can be accomplished in budget and time frame that has been provided. The study of all of this will help the team have a good idea of what and when things need to be accomplished. Steps need to be made and the team has to be in understanding of them.
