In any meeting communication is very important. In a virtual meeting the challenge is that you cannot see their faces, so asking questions and encouraging the other members of the meeting to ask questions or give their thoughts is one way to ensure effective communication. At the same time keeping control of the conversation is very important so that things stay on track and will ensure that the meeting stays within the time frame allotted.

A good way to keep everyone on the same track and pace is to follow the agenda and if it may stray to go back to the agenda were it left off and continue. Having questions that the meeting members must answer is a good way of ensuring participation and better understanding of the material being presented.

Before ending the meeting a quick rehash of what the goals are, is a good idea along with leaving the floor open for questions and comments from the meeting members. If there are no more question offer a link to the powerpoint or discussion information so that they meeting members can follow up if other question come up also giving the members the opportunity to contact the administrator of the meeting if the

Creating Meeting Agenda

...Creating a Meeting Agenda Creating a Meeting Agenda The agenda is the key to a successful meeting - it is the roadmap, the guide, the plan. Studies have shown that up to 70% of meetings either have no agenda or have a poor agenda which is not helpful. In this article, you will see that there are some steps which you can take to make sure your agenda will contribute to making your meeting more productive. There are also hidden advantages. If the agenda is well constructed, you will also spend less time in the meeting and more time actually doing the things the meeting determines need to be done! 1. Remember the key - the more detailed the agenda, the more focussed and generally, the shorter the meeting will be. 2. You cannot expect intelligent decisions if people do not have time to think through the issues before the meeting. Therefore, agendas need to be sent out in advance, not given out at the meeting. People who have genuine desire to reach the best decision, and people who are organised, always have their agendas distributed in time for people to give thought to the issues. 3. Adopt the strict policy that if an item is not on the agenda, it will not be discussed at the meeting. Do not allow items to be raised without notice. Allow only true emergency items to be exempt and allow no other exceptions. Organised people have no difficulty with this. It is only disorganised or "slack" people who object to this because they cannot get...

Huntsville New Plant Project Agenda

...PLANT PROJECT AGENDA ESSAY As the Project manager I will be holding a status review meeting with the following topics in the agenda. Status reports, project schedule updates, identify possible solutions and risks, impact of risk to project objective, determine if any problems have been solved, and meeting minutes. Written communication would be through email and paper hard copies. Verbal communication would be utilized through face-to-face contact and via phone. Project managers need to take time to prepare for the meeting well in advance. The first thing on my list would be to send out a reminder email three days prior to meeting time and location along with a prepared agenda and outline of meeting topics to send via email to all team members. Ask all team members to bring their updates and concerns to meeting. Gather all paper work with special interest to this project and the latest updates and possible risks that have been identified. Prepare colored power point slides as visual aids for team members if possible. Visual aids help see the topics more clearly and keep the audience alert and provide more effective communication. It is also very important to start the project meeting on time. Team members need to become familiar with the start of meeting times and know that when they show late the project manager will not hold the meeting for them. As the meeting starts the project manager should make sure that everyone has an agenda and a copy of...

This is likely to lead to an increased emphasis on application knowledge and a reduced emphasis on programming skills. It should be stressed that in all cases...

Dealing with Difficult Personalities in Projects

...Group Discussion 2 – Managing Difficult Personalities The “Dominator”, the “Multi-Tasker”, and the “Rambler” are both a frustration and a distraction to the project team. They can demoralize the team by expressing negative opinions; derail productive discussions by preventing other team members from contributing their own ideas, and cause meetings to go off track and reduce efficiency. These team members all have a negative effect on the group dynamic. If Nancy does not address these issues, these people may undermine the success of the project and diminish Nancy’s authority as the project manager. Going forward, Nancy should take a pro-active approach to managing her team. Strategies that she can use for individual personality types include: For the Dominator: * Adopt a nominal group discussion technique. In this discussion model each member is asked to respond in writing to a question about the project. Nancy then opens the discussion by asking each participant to share one - and just one - of their comments/suggestions in turn. Nancy will record the ideas on a flip chart for group discussion once all ideas have been brought forward. The discussion continues around the table multiple times until there are no more new ideas or comments to contribute. * Wrap up the meeting with a “round robin” discussion inviting everyone’s feedback on the discussion, progress made and next steps to be taken. * Meet one on one with the “Dominator” and discuss the problem...

Case Study on Gaining Appropriate Membership on Teams

...people know the purpose of the team, they will also know if they are capable or have the skills and abilities necessary to achieve it. 3. How effective is the team leader? Explain. I believe that this team has not started on its right foot. The purpose of the team should have been made clear since formation and members should have been informed. The team leader is not effective because clearly he does not know himself what the purpose of the team is. Without knowing the purpose of the team, the goal, then nobody knows what the next step is. 4. Meeting management techniques – using agendas, having a scribe and timekeeper are intended to make meetings more effective. In what ways could these techniques have the opposite effect? If the meeting does not take long and there are not many points to discuss, then developing an agenda, having a scribe and a timekeeper might take more time than the meeting itself. 5. If you were asked to participate in this meeting, what would you do to get the process back on track? First of all, I would find out the purpose of the team. Secondly, based on the purpose, I would find out how many team members are needed for the team and appoint them, not before asking them if they think they are qualified for the job or not. I would not start meetings without all members present (I am referring to the present case in...
