Case Study Analysis Paper Carl Robins, a new Campus Recruiter for ABC, Inc, finds himself in a very precarious situation. He has recruited 15 trainees for his first recruitment effort to allocate them into the working force. However, some of the trainees have not been properly assessed and screened. In addition, Joe from the technology service department has occupied Carl’s predicted orientation room for the entire month of June, therefore, this leaves Carl no place to host his orientation to the trainees who do have the necessary transcripts.
Carl’s major dilemma is that he assured Monica Carrols, the Operations Supervisor, everything would be in place for orientation by June 15, which will allow the new trainees to start working at the beginning of July. Carl is not only racked with these situation, but he is also very inexperience with only have his job for only 6 months, which clearly has frustrated him in a way that has led him to panic about his predicament.
Background
This analysis will identify and propose solutions for Carl Robin on his first recruitment effort and the problems associated with this case. The problems include Carl’s behavior in the matter, the lack of sufficient transcript for some of the trainees, and the need for an orientation room for the trainees. Furthermore, everything needs to be prepared before the impending deadline that is June 15th of Orientation Day.
Carl’s problem is a result of procrastination and poor planning in specific details. Therefore, he must not look at the problem as a whole, but as individual problems. Carl must confront his problems one at a time. This will allow him not to be overwhelmed physically and psychologically. That will leave room for him to tidy up and make necessary changes to his plan. In addition, Carl must start with the smallest problem in scale and eliminate them first in his list before tackling the larger problems.
Key Problems
One of the main determining problems in this situation is that Carl’s experience is minimal at best. He has no idea how to tackle his problems individually. This is a common behavior for those who have just entered the working society and is being swamped with large amounts of problems and work. The key problems that Carl Robins is facing based on scale are as followed: * Carl Robin’s Psychology * Lack of Specific Trainee Paperwork * Finding a Replacement Orientation Room * All Preparation Completed Before Deadline
Carl Robin’s Psychology It is understandable that Carl is facing a very problematic situation for his very first recruitment effort; however, panicking and being frustrated with whatever is going on is not helping the situation. It is obvious that Carl is very stressed and is about to become incapable of adapting and coping with this amount of work. A solution is needed to stop him from falling apart from this pressure. Something is needed to help him cope that has generally helped other people.
Lack of Specific Trainee Paperwork The first of Carl Robin’s physical problems seems to be coming from certain trainee paperwork. There are multiple problems to this; either the employees did not do a good job organizing the information or the trainees themselves either forgot or just did not care about that critical piece of paperwork. Whatever the reason, this presents a small thorn to Carl’s predicament and needs be to investigated or reassessed before those trainees can come to the orientation. It is completely uncalled-for, especially since these trainees are applying for a job. Furthermore, all the trainees must undergo a drug screen by the clinic. Contacting the clinic for the trainees to speed up the process will be difficult given the amount of trainees that are applying for the job. This will be extremely difficult given the circumstances; however, is there some possible leniency if the trainees are allowed to have a drug screening after orientation?
Finding a Replacement Orientation Room Obviously, this seems to be the bulk of Carl Robin’s problems. The fact that Carl did not know that Joe from tech service would be renting the room for the entire month of June will seem like everything is falling apart for Carl. Finding a new replacement area for the orientation seems to be Carl’s only choice of a solution. However, there are several advantages and disadvantages of doing this. These problems are explaining to the supervisor of the change, transportations of necessary equipment, notifying the trainees of the change of location, and the cost of renting an entirely new place for the orientation.
All Preparation Completed Before Deadline Carl has recruited his 15 trainees in early April and they have handed in their application even though some were incomplete. His Operations Supervisor, Monica Collins, has briefed him on the preparation and he has assured her all would be completed by June 15th. Though, after Memorial Day, which is May 26th, he is suddenly facing all the problems mentioned above and has a deadline to meet by June 15th. Therefore, Carl has approximately three weeks to complete all of the necessary preparation and find solutions to some of his problems. Obviously, The point here is speed is of the essence and this need to complete in a timely and organized manner so that Carl can keep his promise to his supervisor.
Alternatives
It would be possible if Carl talked to his Operational Supervisor, Monica, if it would be possible to extend the deadline another two weeks. This will allow enough time for the trainees to be called in to finished whatever incomplete portion of their applications. Also it will give enough time for the trainees to schedule an appointment in the clinic for a drug test. Asking for a two-week extension will allow Joe’s rent of the orientation to expire for the month of June since it would be the beginning of July and will allow Carl to occupied the room indefinitely. However, this plan should not be considered unless all else has failed. The reasons for this is that Carl Robin would have gone back on his word when he assured Monica that everything would be prepared exactly on June 15th for the Orientation. Anything that Monica has accomplished till than would have been for nothing and wasted time. This would either incline Monica to not have faith in Carl’s abilities and most likely not consider him for future project; therefore, hurting his career prospect.
Proposed Solution First, the best course of action in these particular events is to remain calm even though speed is of the essence right now. This is easier said than done. We are generally nicer people when we remain calm. Stressed, tensed people often take things very personal and they suddenly become very irritable and unapproachable generally speaking. Staying calm will allow Carl to have a shaper perspective and perception on the situation and will see things not as badly. The human mind usually makes a big deal of thing when we are facing stressful or frustrating moments in our lives. Remaining calm will allow Carl to achieve more than previously thought. Frustrated people will often try to tackle several problems at once in a desperate gamble to get things done. This will leave them blind to small tasks and certain things will not be accomplished sufficiently. Being calm allows for more organized and systematic approach to be utilized to its fullest potential. In addition, a clear head will allow for more ideas or options to be considered and this will allow a variety of solution to be shown on the table. Second, it is imperative that Carl immediately calls the trainees who have incomplete transcript and applications. Notifying them of this predicament allows them to react quickly and might possibly allow them to come in and finish their applications. However, if they do not come into complete the application, unfortunately, they must be disqualified as trainees. Doing this within the first week of the three-week schedule before Orientation is mandatory. This will eliminate a minor headache for Carl.
In addition, it would also be wise to contact multiple clinics they may have available free time and can perhaps perform a drug test the very next week with compensation. Carl may never know if they are free or not if he does not call. As a precaution, Carl should notify Monica Collins, his Operations Supervisor, of this predicament and perhaps they may allow for a drug test a week or so after the orientation. The reason behind this is because the trainees do not start working till July. Based on some evidence that it is currently May 27th, one after Memorial Day, it allows for a whole month of preparation and appointments. Third, Carl should immediately go over to his propose orientation room and talk with Joe from the technology service. It would be wise of Joe to tell Joe of his predicament and perhaps he would allow Carl to have his orientation on his proposed day. Orientation only lasts for a day and so far Joe has rented the entire month. Perhaps there might be a free day for Carl that Joe can allow him to use as long as he contacts his superiors on what is going on. There has to be some dialogue going on here. However, if worse comes to push, Carl should start looking for an alternative place and keeping records of expenses while at it. This will allow him to keep the deadline of June 15th and allow him to have a place for orientation. Of course, Carl must manually notify his superiors and the trainees on the change of location and explain himself why there has been a change. Transportations of supplies and other equipment, however, have not put into consideration in this solution. Finally, all the propose solution above depend on one thing only, speed. It is imperative that Carl acts quickly as possible while maintaining a cool organized head. He has only a three-week window before the Orientation and everything must be accomplish within the first of the three weeks. Speed is of the essence here. However, if Carl fails to do this than he may consider the alternative listed above, although, not recommended.
Conclusion
In conclusion, by considering the information above Carl can better approach his problems by tackling them individually one at a time. Remaining calm while completing his assignment quickly and accurately, Carl would be able to overcome his problem as quickly as they appeared. Carl would also be able to keep his word to his Operational Supervisor and have his trainees finally enter the working society.
