Carl Robins Hiring Procedure Review

Executive Summary

Carl needs to make a few changes to his hiring procedures. He needs to make sure he understands what the companies hiring procedures are. He and Monica need to have a sit down talk to go over every detail of the hiring process. For the immediate problem Carl will have to postpone the orientation to the beginning of July. This will give him time to take care of the other problems. Also this will allow Joe to finish his scheduled training.

Background Carl Robins is a relatively new employee at ABC Inc. He has hired fifteen new employees which are scheduled to do their orientation on June 15th. On May 15th his immediate supervisor gives him a list of tasks to get done before orientation. He opens this file after Memorial Day. At this time he also discovers the training room has been booked for the entire month of June. Here is a list of problems he has.
Problems to Solve * Some applications are not completed * No drug tests are completed * There are no complete training manuals * The training room is booked for the month of June.
The main problem we have is the availability of the training room. There are several options to consider that I see.
Option Number One
Rent a conference room offsite.
Pro: It will keep the orientation on schedule.

Cons: It will cost more. The trainees will not be on campus. Any additional hardware for orientation will have to be moved there.
Option number two
Ask Joe to move his training dates
Pro: It will keep the orientation on schedule.
Cons: If Joe is a normal person he will say no. It is not fair to ask him to adjust his schedule because Carl messed up. Depending on the training software there could be an issue with using the computers for orientation in the middle of training.
Option number three.
Move the orientation date to the beginning of July
Pro: It will allow Joe to finish his training. It will give Carl time to get everything ready for orientation.
Cons: It give a bad impression to the new trainees.
I like option three the best. While it does make the company look bad there is a possibility a positive spin could be put on the situation. The new trainees could realize their skillsets are needed to make this a better working company.

Solutions
There are a few simple solutions to the other problems.
The Applications Contact the trainees and have them finish the applications.
The Drug Tests Immediately order the drug tests. The test results need to be back before orientation so if a trainee does fail the drug test no more time is wasted on them.
The Training Manuals There will be a backup copy on a computer somewhere. Find it and make all new copies. * Recommendations for the future. * The biggest improvements that can be made are in the future. There are a couple of glaring questions. * If Carl is the recruiter why was he unaware of the company hiring policies? * Why did he hire employees for Monica without knowing her guidelines? * Why did he hire employees with incomplete applications? * Since he hired the new employees in early April why did Monica wait till May 15th to give him the necessary steps to complete the hiring process? * If he knew that orientation was going to be June 15th why didn’t he reserve the train room for that day? * Why did he wait till after Memorial Day to open up the file? * Since Carl’s job definition is campus recruiter most of the responsibility falls on him. Before he hires anymore new employees he needs to sit down with Monica and find out exactly what is expected of the new employees. He also needs to make sure he understands the hiring process perfectly. He then needs to make a checklist of all the necessary items. For example: 1. All prospective employees MUST have a complete application. 2. All prospective employees MUST pass a drug test. 3. If a physical is required it must be completed before orientation. 4. There needs to be a policy booklet for each employee. 5. He must refresh himself on the orientation manual. 6. The training room must be reserved BEFORE an orientation date is announced. * A simple check list like this will save Carl a lot of headaches in the future. It will also make the company more desirable for prospective employees. * *
