Describe appropriate methods of written communication in different business contexts
Minutes
In our meeting I used minutes of meeting to record what happened during the meeting
A minute is an official proceeding of a meeting or conference. The function of minutes that I used was basically to take minutes down in minutes of meeting I used it to outline the topics that was spoken about.
The minute’s records what went on in the meeting, either in the order that it was actually said or in a more rational order?
Secretary or personal assistants would be the ones normally taking down the minutes. Taking down minutes depends on how long the meeting is going for they can vary from minutes to hours.
The reason why I used minutes is because it is one of the best methods of written communication is because if a member couldn’t attend our meeting then instead of word of mouth the I could have passed on the proceedings on to the member who weren’t able to attended the meeting.
The reason why the minutes was the most appropriate way is because I was able to record what happened during the meeting while writing up the minutes unlike any other methods where I would have to wait after the meeting the write up but using the minutes reminded me of what happened during the meeting
Letter
I used a letter to inform Christ the King college about a new initiative of personalized printing when I wrote a letter I included some key information like:
• Date & Sender's Address
• Recipient's Address
• Body
• Closing
When I wrote up the letter the date very important so the receiver would know when it has been written up must have date because they might want to know when it was sent

When I used a letter here is some reason why I used a letter and why it was an appropriate method of written communication: because I can approach someone for a business transaction this is good and formal way and business like sending a letter for a business transaction providing response to a business query and any other business related matter.
Invoice
I used an invoice to request a bill to be paid for the rooms booked at the hotel There is many information on the invoice that had to be stated for example the quantities of the items sold, it also shows the date of shipment ,the mode of transport, prices ,discounts if there was an and delivery and payment terms.
An invoice is an external document which is external to a customer and received from suppliers.
An invoice is an issued bill by the ones who provided the service or product to the customer, an invoice serves as demand for payment.
When issued I issued the invoice to JD Sport it’s nonnegotiable and the price that’s on the invoice is the price that must be paid
The reason why I used an invoice and why it was the most appropriate method is because its layout is unique from the other methods of communication which means even if you send an email or letter it doesn’t have the layout that the invoice has the invoice has everything from the boxes where the price go the quantity of the products.
Leaflet
We used a leaflet to inform people about a new imitative which are personalised printing at JD Sport. A leaflet is a printed usually folded handbill or flier that is normally for free distribution. In business context leaflets are inserted into newspapers or are handed out in popular places, hence to catch possible customer’s attentions and to get a message delivered convincingly to them.
One of the main reasons why I used a leaflet is to get people to buy the business product or use our services.

They often tend to use leaflets because. The reason why the leaflet is the most appropriate method is because it’s different from the other documents the leaflet has bright colours with big bold letter to catch the public’s eye unlike all the other documents have layouts and can have all different colours and big letters. The reason why we used I used a leaflet is because they are more appeasing to the eye than reading it catches the public’s attention with big bold and colourful letter.
