Scenario One
The position of a marketing assistant for a consumer electronics company in charge of trade show booth setup can certainly be a challenge. The marketing assistant is responsible for establishing booth setup and tear-down. This position also requires the management and oversight of equipment worth well over a quarter-million dollars. As a marketing assistant, there will have to be steps taken to alleviate or mitigate any issues that may play a role in hindering the success of the goals put in place.
Use of a Database or Excel Spreadsheet
An Access database or Excel spreadsheet will have to be created featuring fields that can easily be accessed in order to verify information at all times and in detail. The more fields listed, the easier it will be to find a particular part or location and will enable this information to be easily obtained. The list of relevant fields needed to track important data is contained below. .

Equipment Company: Name, telephone number, address, and a point of contact
Equipment: Name, model, serial number, location, and weight
Shipper: Name, telephone number, address, and a point of contact
Booth Components: Booth number, name, model, location, height, size, and weight
Advantages and Disadvantages of Access
As with any product, there are advantages and disadvantages. Here are some of the advantages and disadvantages of using Access according to (Microsoft.com, 2014). Access can work with millions of rows. Access is ideal for text, numbers, dates, and other common data. Access has useful features for storing large objects like images and documents. Disadvantages of using Access are that it cannot perform what-if analysis or use SmartArt graphics.
Advantages and Disadvantages of Excel
Here are some of the advantages and disadvantages of using Excel according to (Microsoft.com, 2014). Excel can perform what-if analysis. It can also create charts and easily sort and filter data. Disadvantages of using Excel are that it does not provide tools for the creation of one-to-many and many-to-many relationships between tables. Also, Excel does not feature tools for working with rich text and storing large documents and images.
Confidence Using Excel Spreadsheet
Goldwater (2007) tutorial study found the following:
The output from each analysis can go to a new sheet within your current Excel file (this is the default), or you can place it within the current sheet by specifying the upper left corner cell where you want it placed. Either way is a bit of a nuisance. If each output is in a new sheet, you end up with lots of sheets, each with a small bit of output. If you place them in the current sheet, you need to place them appropriately; leave room for adding comments and labels; changes you need to make to format one output properly may affect another output adversely. Example: Output from Descriptives has a column of labels such as Standard Deviation, Standard Error, etc. You will want to make this column wide in order to be able to read the labels. But if a simple Frequency output is right underneath, then the column displaying the values being counted, which may just contain small integers, will also be wide. (Output location)
Tracking the Data
The main purpose of tracking data is being able to locate the equipment and keep track of where it came from. As the marking assistant, a key responsibility to ensure the equipment is correctly inventoried and can easily be found at any given time. Many businesses use radio frequency identification (RFID) also known as property identifiers. RFID devices can be viewed as a bar code that provides a unique identifier for that object. And, just like a bar code, it can be scanned to retrieve the identifying information (Technovelgy.com ,n.d.). Tracked data can be broken down into relationships between records. These relationships can be matched on different tables and be tracked by data that includes names, serial numbers, models, and location.
Personal Database
The use of a personal database to track equipment and locations, as well as shipper information should be relevant to use. The main reason that this method is ideal is because of the ease of use when it comes to managing changes to any table or field.
Decision Support System
A decision support system also known as business intelligence could be useful in maintaining control of the expenses, equipment purchased, and loss or damage of equipment. It would also be useful in keeping track of the vendors where such equipment was supplied.
Scenario Two
As the manager of seven employees in a small consulting business, it is determined that some employees work at home and some work in the office. Each one of these employees needs to be connected to the Internet. .
LAN or WAN
A WAN connection would be required to establish connections between employees working at home and in the office. The primary reason that a WAN connection is more feasible in this situation is due to the fact that the employees are not located in the same building.
Going Wireless
Wireless capability may be a necessity if the employees are located on different offices within the building. A modem could be used to free up lag time
VPN
Virtual private networks can be used to establish a secure connection to the network. In this instance, VPN are encrypted, ensuring the connection is secure from hackers who intend to do harm to companies and individuals. VPN’s are connected through point-point lines in which people with a need for access are granted those permissions.
Conclusion
This paper addressed Scenario One and Two. First the use of a database or Excel spreadsheet was addressed. Next, advantages and disadvantages of Access and advantages and disadvantages of Excel were expressed. Then, confidence using Excel spreadsheets were discussed. Then, tracking the data and personal database were analyzed. Next, the Decision Support System was addressed. The next topic addressed was LAN or WAN as a preference was addressed along with the necessity of going wireless. And finally, VPN network capability was examined. Every manager should familiarize themselves with all of the benefits of using databases to track equipment and connecting their employees to the internet allowing them to use it as a resource.

There are many things that need to be kept track of including data related to the equipment received for trade shows. Situations such as these required detailed lists of all things involved. For example, the equipment related to the trade show booth would be kept in its own category where they would be listed individually in relation to their utilization purposes for the trade show. Other data would need to be recorded such as detailed information in relation to the condition of the items during the shipping process. The marketing assistant must ensure the booth and its display contents, are brought to their desired location in a timely fashion and taken back securely in order to assure their future use to the company. By having information such as postal tracking numbers, tabs can be kept on the dispatch and retrieval dates, hence being aware of the items locale at all times. Trade shows typically need certain tools for tracking and maintaining the information needed with relation to the equipment being used. A great initial option would be a program such as Excel, to track the necessary data. However, Excel may not be the most......

...Determining Databases and Data Communications Jeremy Timm BIS 320 August 19, 2013 Sharyn Deeringer Determining Databases and Data Communications In the two scenarios there are many ways that they can be solved or worked out to make them fit to the person working with them. They both deal with databases and communications that companies need to consider. In this paper we are going to discuss some of the options that companies or self employed business owners can use. Scenario One Some of the typical fields that could be used would be of the booth equipment by piece, what equipment you will need by piece, what company is shipping the components and the expected arrival date and time. By having all of this information you will be able to use it as a checklist to ensure that you have all the required pieces and components for the trade shows. Being able to track what company the equipment is being shipped through will decrease the probably of the equipment being misplaced at the location of drop off. Along with tracking what company is shipping the equipment you would want to track how much everything costs to be able to charge that company for any losses that might occur. A database system could work the best for some people in this situation but others might be more comfortable with a spreadsheet. We all know that a database is a “self-describing collection of integrated records” (Kroenke, 2012, p. 101). One way a database would be good is that you can print......

...Determining Databases and Data Communications Determining Databases and Data Communications Having a clear understanding of the technologies to implement is an incredible tool for managing companies with computer technology as their primary means of sustainability. This knowledge helps their personnel responsible for information management to make informed decisions about which technology to actually implement. These strategic decisions permit the manager to effectively utilize time and resources in seemingly intimidating tasks. This is shown in both scenarios. In the first scenario a marketing assistant working at a consumer electronics company is tasked with maintaining booths for trade shows from start to finish. In addition that individual is also tasked to resolve any issues related to product shipment that may arise. Knowing what information is to be retained is important in ensuring best tools are used in trade fairs. Situations like these calls for detailed list of displays, equipment, and booths that are necessary and how they are being shipped and retrieved. Let’s say a trade show is to be organized in San Antonio, Texas with a requirement of one booth and display. The marketing assistant must make sure the booth with display is brought to the location in time and taken back for future use to the company. Determining Databases

...Determining Databases and Data Communications University of Phoenix BIS 320 Determining Databases and Data Communications Databases are a “self-describing collection of integrated records” (Kroenke 2014 p 108). The purpose of a database is to “help people keep track of things” (Kroenke 2014 p 107). A few terms that are used in reference to databases are: bytes, columns, fields, rows, records and tables (Kroenke p 108). Bytes are grouped into columns; which are also known as fields and columns or fields in turn are grouped into rows; which are called records (Kroenke p 108). Lastly, a group of similar rows or records are called a table or a file (Kroenke p 108). In scenario one, the information that would be tracked would be the data about booth components, equipment, shippers, and shipment. There are three different relationships: one to one, one to many and many to many. A one to one relationship is not common because most information related in this way would be in one table (Microsoft SQL server). The one to many relationship is the most common type of relationship. “Make a one to many relationship if only one of the related columns is a primary key or has a unique constraint” (Microsoft SQL server). The many to many relationships can have many matching rows. The two relationships that would be used would be the many to many relationships and the one to many relationships. Since we are tracking shipments and shippers, this might overlap because one shipper......

Even if he or she is not an expert in the information technology field, a basic understanding of the tools and terminology is a must-have. This understanding can be useful in clearing out some of the options which are obviously untenable and narrow decisions to a limited number of viable options. The scenarios below demonstrate how a basic knowledge of software application and network design can simplify decisions that would perplex many individuals. SCENARIO 1 In the first scenario a marketing assistant for a consumer electronics company is responsible for managing the displays used at industry trade shows. This person must identify the necessary components and equipment and make sure they get shipped to the trade show in a timely manner. Once the shipment arrives at the trade show, the assistant is responsible for verifying the condition of each item and overseeing the set-up and functionality of the display. At the conclusion of the trade show, the assistant makes sure that each piece ships back to the company and is put back into stock at the warehouse in the same condition as when it originally left. Data Communications

...Data Communications The 4th Annual Technology Trade Show is slowly approaching. We are preparing to get things in order for the company’s booth. Marketing managers are in the process of determining what displays we will be presenting. The specified equipment will be all of the 2015 models of the T-21. As a marketing manager, I have developed an Excel spreadsheet that will track booth components, equipment, shippers and shipments. The Excel file is named “2015 Trade Booth” located on the company SharePoint site. The excel spreadsheet has five sheets that are labeled with the approximate label. The tab labeled “Events” has all of the information for the Trade Show. This tab has an info form imported from Word that needs to be filled out by all vendors, suppliers, and buyers for the event. Once the form is completed, it should be entered into the 2015 Trade Booth Access program. Entering the vendors, suppliers, and buyers information in the Access program will link information to the equipment, supplies, and shippers and shipment information. Using Access for the database allows the company to store vast amounts of information while importing and exporting files to or from Word, Excel and PowerPoint. One disadvantage with using Access last, was connection problems with Word and Excel, which made it impossible to track data. This year, only one person will enter data and export/import files. Access is a great example of a personal database. A personal database is a DBMS......
