Efficiency and Collaboration Proposal
Team “D” would like to propose a convenient and efficient system that will allow the company to function more proficient. The purpose of this proposal is to introduce a relational database system that will improve the company’s productivity by updating our current information system. Team D will demonstrate this by explaining the usefulness of converting data currently in Microsoft Excel spreadsheets into a rational database using Microsoft Access. Describe the benefits of using Microsoft Access in our organization and will include suggestions for the future use of collaborative software, showing how it can improve the communication of the sales department while also streamlining the work process.
Usefulness
Depending on whom you speak with you will get a different response when asked, which software is better Microsoft Excel or Access. They are both very powerful and unique software used by tremendous amount of individual’s worldwide. Just know that both are used to make our day at work or even at home easier by recording and organizing important data. However, how they store, organize, or display that data is completely different from each other making it one of the major differences between the two. For example, excel offers what is known as the what-if analysis, which can forecast the outcome of the worksheet.
Although they may seem completely different visually, they are very similar in the information that can be stored. Microsoft access can store data in tables that look similar to those of a worksheet but function quite differently. Microsoft Excel on the hand displays flat-file database, which instead of tables displays data in rows and columns about a specific subject.
Benefits
Migrating to Microsoft Access will be beneficial to the company because it is a database where large amounts of information, such as reports and analysis can be stored. Once individualized data is stored into the database, it can be related to other entities within it. When information about the staff’s work schedules and salaries are stored into the Microsoft Access Database, a report can be generated to show how much the company spends annually on staffing. A detailed list of the company’s supply inventory including cost and quantity can be entered into the database. Anyone allowed to work in the database can make changes to one record and other records that are related to updates automatically.
Implementation
Our Team has determined that we should make the ordering systems more automatic. We will create a platform were the customers may upload their logos, photos, and messages. This will allow customers to create their own design via the web. Customers will be able to preview how their final product will look like before placing the order. In addition, when the order is about to be placed, other products will be offered to the costumers. The platform will up-sale and cross-sale. Guaranteed delivery times will also be available for additional fees. These upgrades will increase productivity. The current database will be imported to a server using Microsoft Access to be organized and managed. By having the information on a server will allow production, billing and shipping departments to see the same data. New customer information will be added to the database. Customers will receive information on new products and offers for special occasions. The information acquired will be analyzed to identify potential future customers and best ways to reach them.
Conclusion
As mentioned above, there are many reasons why it will be beneficial to convert from Microsoft Excel to Microsoft Access as a way to store information for the business. Using a database as opposed to spreadsheets allow you to enter large amounts of information and run specified reports. Microsoft Access is user-friendly and staff at any level can easily learn to use it without experiencing any major complications. It is important that our company utilized the best resources that will produce the best business tactics possible. Using the latest innovative software to maintain records for the company is the best way to stay competitive and relevant.
