INTRODUCTION

Background of the study

The College of Information Technology and Computer Studies (CITCS) is a full-grown society. Evidently through the huge number of students who decided to take the course of Bachelor of Science in Computer Studies (BSCS), Bachelor of Science in Information Technology (BSIT) and Associate Computer technology (ACT) in Pamantasan ng Lungsod ng Muntinlupa (PLMun). Considering the existing the University’s Disciplinary Measure, CITCS decided to make a violation system that will use for storing information about violations and information about violators. In line with this fact a problem of having a record of all the CITCS students as possible violators raise in. also having a problem in recording violations rise in. The developed violation system is a system that will solve the existing problems by having records of all the CITCS students as possible violators and having a smooth flow of recording violations. The system also includes storing students record, modifying students records, deleting student record, printing student record, recording certain violations and indicates if the recorded violation is already served by the intended violators or not. The CITCS department is currently using a violation information system but still using a manual violation record that leads to generate cost, time and effort.

Definition of terms:

Students

➢ There are the students enrolled and upcoming students of the organizations.
Administrator

➢ It includes the OIC/Faculty or the Dean of our department end even the authorized person to manipulate the date of our system.
Violators

➢ These are the students who have committed some negligence in attending an event or activity of CITCS department.
Violations

➢ The basis of violations is the rules and regulations from the student’s handbook and from the jurisdiction of the CITCS policies.
Sanctions

➢ It applies only for violators who have committed any violations under the jurisdiction of our dean or the OIC of the department.

➢ The current system that is called the information update.

OBJECTIVES OF THE STUDY

The main purpose of the study is to create and develop an automated violation system of the College of Information Technology and Computer Studies (CITCS) students that is user friendly and at the same time it would be able to update, delete, and print the student record, nor update and print violation record. The system is for the violation record update of the CITCS students only, the update of the students in other departments or colleges of Pamantasan ng Lungsod ng Muntinlupa does not belong to the system operations. Our objective is to improve the current violation systems and transfigure it to an automated updating system. The system will display the system security, the student violation record and the violations in accordance with the university disciplinary measure. This is for the sake of the students who find it easy to violate rules than to follow rules and regulations of the university. The system also deals with its user’s. A user-friendly system that approaches the needs of the faculty for the better development of the College Department. Made for an easy updates and access on students information. Organizing the process of evaluation for student’s behavior on how many times they disobeyed the orders of the University Law of Conduct. Therefore, the system helps for an order documentation of student’s records. Implementing proper access on departments need for the future holds. Furthermore, the system helps to avoid unexpected circumstances that the manual operation, usually deals for error outputs.

SWOT Analysis

STRENGTH The system has a big impact that can help an organization more foremost, to a university that holds thousands of records of students. A university much more an example of the Pamantasan ng Lungsod ng Muntinlupa can specify a record of a student in an easier and faster way. The system therefore is a friendly-user that can easily access and updates the violation of a student Administrators can easily specify and conduct a disciplinary action toward a specific person using the said system. The higher departments can peek the percentage of violation on, and may give a quick resolution.

WEAKNESSES The extension of the system all throughout the campus might be a difficult task. Presently, there are some occurring problems in records. It doesn’t include all the records of the student as the main violators. In this situation, the Administrators encountered problems in recording violations of a certain student. It also provides inconvenience for sorting the students record and violators record.

OPPORTUNITY The systems expand its uses throughout the whole university. The records that retained in the system may submit to the higher officials of educations. That may help for the auditing on the systematic approach when it comes on the behavior of the students within the campus.

THREATS Unfortunately, the system still has its limitations, the system was made accessible in mySql, therefore, and even the unexpected user may peek the records of the system that they can be edited.

MISSION STATEMENT The Office of the College of Information Technology and Computer Studies aims to imply discipline to all students from the department itself and all throughout the university. In regards with this, CITCS want to impose on having a system that will help them in implementing the university disciplinary measures. Therefore, the system enables the administrators to update easily the records of violation of a student. Avoiding the errors brought by a manual conducting of records, the system was made to organize the data of students that the violation system includes. However, the system still requires students profile to finalize the needs of the violation system.

GOALS The system was improved to give an organize data that will enable the user to see the specific record of a student. The system requires login that includes passwords to secure the students profiles from unexpected users that may edit the records. Includes student’s profile that contains specific data that the system needs.

RISK MANAGEMENT Due the process of, evaluating, tracking and controlling risk in the system, it minimizes the risk that initiates in the programs. It can be easily to specify the information you wanted especially for the frequent stable. Analyzing and being aware must indicates due the process of one’s initial through a specific result. Through this benefits, you can assure the reasons or an acquainted discrepancy, therefore, having this content will serve as an undeniable system. Accessing program is the one way in updating data through the records of a student. Therefore, you may view their offenses in terms of every violation they had, same reasons will be the first offense but it have an allowable repetition to consider. At the same time, student has a choice of using their student number or COM. If ever, one of this important thing of a student was lost, it can be acceptable to overview their files and also you may specifies their information to a specific person. This serve as a well-implemented program default.

MITIGATION PLAN In behalf of our preparation in our system. We had conducted several plans to make our system more vulnerable to our users. The following are some of our preparations that may help to make the system more sufficient: We gathered student’s record that will help the system more efficient to use and may justify the whole system towards information to a specific student.
Conducting some Interviews, to a specific person that will enable to clarify some other things to the system and additional information that will enable to give us an idea to improve our system. Observing how the system will work in process. We had conducted a system that will organize the reports of student violation and disciplinary actions. Researching more to our preferred system, making it more systematic.

CONTIGENCY PLAN Our system enables to organize the preferred records of a certain student for their disciplinary actions. Therefore, the system has a value for the upper administration or even for us. For the preparation of some unexpected changes or risk that may occur in our system, we preferred to have our Back-up files, that won’t let us fail, if we ever did loosen up the file. This will help to include our desired changes in a system and wont ruin the program that holds thousands of record.

In the year 1994, a new course was opened in Muntinlupa Polytechnic College, Junior Secretarial, and a 2 years course primarily on computer application for future Company Secretaries. The following year, another course was opened, the associate in Computer Technology that deals mostly on the hardware component of a computer system. As 1998 Bachelor of Science in Computer Technology was open, a 4 year Baccalaureate Course.

And so the department was then called College of Computer Studies. By the year 2001-2005, the College was located in the 1st floor of the University's main building. In 2006 the College of Computer Studies was then relocated to the 2nd floor. Bachelor of Science in Information Technology, another 4 year Baccalaureate Course, was opened by the year 2008. And so the College of Computer Studies was then called the College of Information Technology And Computer Studies.

Until now this 3 courses namely Associate in Computer Technology, Bachelor of Science in Computer Science, Bachelor of Science in Information Technology, are producing globally competitive graduates.
