An organization can benefit greatly from the use of email. Not only can employees communicate with both clients and coworkers, they can do so more efficiently than without. Email is a very powerful tool to use in business or even in everyday life. When a company needs its employees to share information together, rather than to take hard copies of a sheet to each individual person, a mass email can be sent out that goes to each employee company wide at the click of a button. Very efficient. This is not to say that there are no cons to emailing. Employers should monitor their employees well. There are a number of reasons why a company might not want an employee emailing without limit or restriction. For example, should an employee use the email system for their personal benefit or gain, their productivity could be reduced or temporarily cease. They could make mistakes while trying to cover up both jobs at once or while attempting to multi-task. Aside from personal usage and lost productivity, the companies information, or even clients information could be compromised. An emails path is usually predetermined, however, do to hackers and identity thieves, it may not always go only to who one may wish or think.
An alternative to emailing is instant messaging. It is even faster. Emails often need to be refreshed or checked regularly for incoming messages where as im’s come right though. An im can be as instantaneous and quick as the person typing is capable of. While it is very fast and effective, it is unprofessional. It may be acceptable in some cases for employee to employee communication to be through im, but employee to client interaction should never be through Im.
Web pages and search engines. They are extraordinary tools for research purposes. In today’s world, you simply type in anything into the search bar and are practically guaranteed to come up with information on the topic. The internet is vast and growing. A company can profit greatly from the use of such tools. But just as in emailing, web pages and search engines can be misused. As efficient as they are at finding company related research, they are even better at retrieving personal, irrelative material and the click of the mouse. Employees can easily get distracted and lose track of work, or ignore duties.
Companies and employers have the resources and ability to get a hold of very powerful technological tools. A company can run exponentially smoother and more efficient with the aid of technology, but at the same time, it can be equally less effective and efficient. It c an serve as entertainment rather than tools. This is why, while we need to utilize the technology available to us, we should also monitor what is going on within our companies, set boundaries and also, restrictions.
