However, with new products and new technology there is a need to learn how to use the new product. User manuals are an invaluable source of knowledge on how to use any product but some are better than others. A good user manual should be judged on its readability (not having huge blocks of text, complicated words etc.), it’s ability to be navigated easily, good use of visual aids and diagrams, rationally structured (simple ideas to complicated concepts) and to contain quality information. This user manual is very good and meets most, if not all, of the criteria to be an exceptional example of what a good user manual should be. The manual is structured in a very reasonable way. It starts off as if you had just purchased the phone and are setting it up for the first time. What the buttons do, how to install new items like a sim card, memory or battery. It then transitions into how to care for the phone, charge it, turn it on and off etc. It contains a comprehensive list of symbols that may appear on your phone and what they mean. Web conferencing is a great tool we can use to have those weekly status meetings. We will be able to bring our offsite teams on board and connect with them at any time. These programs will potentially save time and money while bringing the department together. I have researched 5 of the best companies and found that though they are similar in services you can see some differences if you if you look for key points. The five programs I choose were Cisco WebEx, Fuze Meeting, GoToMeeting, Infinite Conferencing and InterCall. As shown below (table 1) most common features are shared by all but Fuze Meeting did not have the capacity to use VOI P or have video or webcam features and CISCO WebEx was not capable of recording the meetings. While GoToMeeting and Infinite Conferencing have all the features the max number of attendees either exceeded or did not meet our business needs. This is the reason I choose InterCall. This program has a total of 124 number of max attendees. We can definitely expand with this program and secure a smart web conferencing tool for future use. Printed manuals will still be available with the products but only provide essential information. Web-based user manuals provide in-depth information and include better visuals of the product. Many of the web-based manuals also offer interactivity, allowing the consumer to understand the product better. According to (Gerson & Gerson, n.d.) the techniques used for developing an effective, interactive, and web-based user manual are similar to writing a paper manual. Audience recognition, development, conciseness, consistency, ease of use, and document design are part of the process. The differences interactive web-based manuals must include are better visuals, interactivity, and more information. Adding product pictures in place of drawings gives the manual an improved look. Adding clickable tabs and links helps the user navigate the manual more efficiently. Online user manuals can also provide the consumer with more information about the product than a paper manual. Many products are too small, and the packaging may not provide enough room for an effective user manual. It was in regards to a program call Auto task that we were going to start using online and our boss just explains how to use it and our logins. The tone of this memo is very direct and straight forward. He always gets straight to the point in any subject, because if he doesn’t the guys will be asking a lot of questions. I think the writing style would be technical because he is explaining how to get to the site, what we use to log in and if a link on how to use the site. We cannot do anything else besides what is written or we would not be in the right site. So I think it is technical writing because in the memo he includes the user guide and the process on how to get to and onto the site. ...Week 2 Assignment: Memorandum Evaluation ENG221 5 March 2015 After reviewing the memorandum, sent by Mr. McCauley, I was baffled. The acronym, “HR”, in the memorandum heading, was not clarified. After reading the second paragraph, it was assumed that it meant “Human Resources”. The acronym, “COO”, was also not explained, for I could only assume that it meant “Chief Operations Officer”, and was not referring to Mr. McCauley’s state of sanity. In the message body, though the memorandum is responding to the Service Request RM004, the service request, even if briefly, was not explained. The disparate tools used were not explained in how they were different, nor did it reveal who used them. The second paragraph, beginning with, “I look forward to moving…,” should have been the last paragraph in concluding the memorandum. The jargon “state-of-the-art” would not be a proper description, in a professional memorandum, of the technology being integrated. A good replacement word, for that phrase, would have been, “advanced”. In the third paragraph of the memorandum body, the tone appears demanding and, within the first sentence, threatening. Though a project plan may be a requirement, it could have been stated in a different format. I would have written the following: “In order for the funding of the integration project can be allocated, a detailed written report will be required containing the following: a list of all the tasks, resources, schedule, and budget requirements.
