Effective Communication Paper

Within our organization in the finance department we use the Optumn Matrix structure. This allows our department to be more interactional with in our operations. We have been able to increase flexibility in our meeting for the demand of different changes within our organization. Our billing customer service has gotten better survey reviews from our patients and vendors. Because we do have to remember to stand by our billing department, name which is “Family Healthcare Service” or “Family Home Hospice”. But, that’s just a few example of how well this structure is working for us.

When it comes to sharing, change, or anything else to our employees at FHS/FHH; we do it in a few different ways. To ensure that delivery is successful. We start out by having a meeting. Which we already do monthly meetings, but, if something comes up that needs our immediate action or attention. We will call another meeting as needed. We then follow up with an e-mail not only about the minutes from our meeting, but going over everything in detail, consisting of the new changes and what’s expected from everyone. If any new changes need to be passed onto our patients then we mail out flyers/letter for them as well as flyers in office, or send them with the medical staff to deliver as they make their home visits. During these processes, we have seen the information to better get across if we present the information to the patients when the medical staff arrives at their home because they can then ask questions.

For delivery to our employees, we see a better response to the information during meetings and to send out reminder emails. This time that’s allowed to present the information as well as time to discuss and answer everyone’s questions. We find this to be the most effective method. I feel that in the future I may try
