I would start out by explaining to the customer what Microsoft Access is. Microsoft Access is software that manages databases. The database collects, organizes, and stores information about things. The second thing I would do is introduce some basic terms of Microsoft Access. A database table looks a lot like a spreadsheet. There are rows and columns like a spreadsheet, which makes it easier to convert a spreadsheet into a database. Each row and column in a table is referred to as a record. Records are where the information that you are entering is stored. The rows hold one type of information; the columns hold a different type of information. Reports are the data that is processed in the tables. Basically, if you have a datasheet made for yearly spending, you can look up a report for whatever year you’re looking for or the current year. Macros in Microsoft Access are a type of programming that helps add functionality to a database. Macros can help simplify things if you have enough experience with it. One example of how Macros can help is, when a person types a certain command, a report can open, a query can be ran, a report can be closed and so on. This programming basically makes life easier by using simple commands. The description of these would vary because depending on how much they know about technology, they may or may not be able to understand these explanations. In order to determine their experience level, one can generally tell by the way the customer is talking about the program. I could start off by asking them their experience level also.
