Purpose
The conference is to promote MacVille’s company to inform delegates and to launch the new Mezzo product range of imported Italian espresso to all the delegates. It’s primarily use to prospect sale leads of MacVille espresso coffee machines as well increase awareness of Mezzo espresso coffee to the market.

Type The type of conference is a small sized formal registered event, anticipating 40–60 people will attend for one full day, activities and culminate with a dinner. Round tables are used in the crescent rounds setting, with jug of water on each tables, this setting suitable for dinning an used for 50+ people. This provides guests with the ability to view the speaker and the projections screen during the presentation. This event is suitable to external managers and owners of coffee retail businesses and MacVille clients. Benefits
The benefit to delegates to attend the conference is to increase their knowledge, on the new Italian coffee range. The outcome for MacVille having the Australian rights and the first conference in Australia it will bring opportunities to engage and network with managers of retail coffee shops and with the view of building relationships with clients. When, Where and Who
The conference will be held on the Gold Coast in November 2014. We will try to ensure the date of conference does not to clash with any other competitor’s event or school holidays and public holidays. We are expecting between 40-60 delegates MacVille clients and Managers from all the regions coffee retail businesses on the Gold Coast.

Resources
We are sourcing a venue on the Gold Coast that has all the conference equipment included in the price and catering facilities available, also security will be sourced to provide the necessary service to observe any possibility of risks within the conference. Included is a comprehensive marketing plan for the Mezzo range, includes social media, website, advertising in the industry magazine and other traditional and event marketing ideas.

We are sourcing a keynote speaker and entrepreneur speaker with an empire coffee business to raise the spirits of the delegates and sales for MacVille.

Time
Time asked is between 4-6 months to manage the planning for all areas within the conference and personnel to scope the tasks ahead. I’ll be using Gantt chart for a timeline and make draft plan to assist in the organising of the conference day e.g. * Create a budget * Confirm speakers available * Determine the day plan * Organise travel for the VIP * One breakout session with taste testing * Workshop * Afternoon Latte artist demonstration * Dinner

Financials
The budget is $25,000. An accurate financial reporting will be made throughout the planning of the conference, to ensure the budget is under control. Costs of delegates are taken into account, in the process.

Barriers
Barriers to consider could be decline in interest, due to current slowed economic downturn; this is an industry that flourishes in the Gold Coast region with very busy coffee retail businesses. Any problem or unforseen barriers will be minimal with our contingency plan in place.
