SUBJECT: WORK PROGRESS OF GRAND OPENING OF SRS FURNITURE COMPANY NEW SHOWROOM
This memo depicts the work progress of me and my committee members for preparing the grand opening of new showroom, SRS HOME DÉCOR in Bandar Baru, Kampar. Last year, SRS Furniture receives a very good feedback from customer on providing good quality furniture and creates an outstanding sales performance in Ipoh, Perak. Hence, we decided to enlarge our business to Kampar to benefit more household in acquiring high quality furniture. The proposed launching date of our new showroom will be on February 28, 2014 (Friday). The preparation of SRS Furniture Company’s new showroom had been started since January 2nd, 2014. Until today, the work has entered second stage and all works are carrying out as original schedule.
Past Progress/ Work Completed (i) Financing Budget
On January 3rd, the very first committee meeting had been conducted to discuss the budget needed to fund the overall activities for the event. The budget manager is requested to submit a budget report with each items clearly stated with the actual expenditure amount and has the result that total expenses for the event are RM 200, 000 and it is approved by the Finance Department of the company. The allocation of budget is on refreshment, celebrities and event speaker’s fees, technical equipment and other necessary resources running the event. (ii) Guests Invitation
A numbers of names have been listed to be invited to attend the grand opening of SRS Home Décor. The CEO of SRS Furniture Company, the Chairperson of Board of Director, and the county head of Kampar are the three VIPs for the event. Others that are invited to attend are famous celebrity such as Amber Cheah, Danny one, Siti Nurhaliza and others popular public figure from higher society. There are total of 200 invitation cards had been sending out to the regarding person, and 100 RSPV is received and the attendance is confirm. (iii) Publicity
The public is also welcomed to take a tour around the new opened showroom. The news about the new opened showroom is announced through the official web page of the company in order to reach a mass amount of people with. In addition, the event is also promoted through both paper and electronic media. (iv) Refreshment
Refreshment will be provided to our honour guests that attend to the grand opening. All the foods are supplied by a famous catering company in Ipoh, E&E Restaurant and Catering. In order to serve our guests of various races, refreshments are provided in Halal form.
Present Status/Work in Progress (v) Scheduling the Programmes Flow
In order to make the grand opening of the new showroom interesting, we are planning a series of interesting activities to be conducted in order to entertain our precious upcoming guests. We are very pleasure to have Datin Siti Nurhaliza to perform one or two songs during the event as well as Chinese singer, DannyOne are invited to perform on the stage. Other activities will be dance performance by dancer from Leo Dance Studio, however the person in charge Mr. Danson not yet confirm with us their attendance since it is clash with their dance competition date. Therefore, Ms. Lee who in charge the programme flow has come out with a backup plan of inviting dancer from MasterA Dance Studio to perform their dance for our event. (vi) Invitation of Guest Speakers
The next stage involved the invitation of speakers to conduct the flow of the event. The two DJ, JinnyBoy and Ean from Malaysia top English music station is invited to fill the position of master of ceremonies. A meeting with both DJ will be held on February 14th (Friday) to brief them on the details of the event to avoid any mistakes happen by chance.
Future schedule/ work to be completed (vii) Preparation of Presentation Slide
Slide of power point presentation will be prepared by our event committee. The reason of showing power point slide is to make our guest have a more understandable about the concept of SRS furniture showroom and the activities flow on that day. Furthermore, The Star’s reporter will be invited to attend for having photography for the event and publish news for sake of events. In addition, video recording and photography are necessary for record opening new showroom. Photographer and video recorder will in charge by Kevin Lee and David Pang. The dated of decoration of venue will fall on 24 February.
Closing
At this moment, we are not encountering any problem and no issue is anticipated to take place before the launching or our new showroom. Everything is going smoothly and effectively with progress on schedule and not transcending the budget. Thus, the grand opening of the new showroom will be held as the proposed date, which is 28th February 2014. You will my final report detailing the number of guests, and programs flow on 21st February 2014.
