PM598 – Contract and Procurement Management

RFP Template:

Template notes:
-------------------------------------------------
The formats of RFP's used by companies and government agencies are seldom the same. The organization of the technical, management, and commercial information included in RFP's varies. There are six commonly used sections of information that procurement groups include in RFP's. We will use these six sections as a template for your RFP’s.
-------------------------------------------------

1. Instructions to Bidders
2. Description of Work
3. Proposal
4. Specifications and Drawings
5. Special Conditions
-------------------------------------------------
6. General Conditions and Contract Agreement

The Instructions to Bidders provide sufficient information to bidders to allow them to prepare a responsive bid proposal. Most of this information is not required in the final contract for the work. The information in the Description of Work, Proposal, Specifications and Drawings, Special Conditions, and the General Conditions and Contract Agreement sections is included in the final contract for the work. The remainder of this template discusses each of these sections included in RFP's.

Please feel free to type “N/A” under sections that are not applicable to your project and to add sub-sections as desired. Also, you will want to delete the description information (in blue) after you have added your data under each section of the template.

How to make sure you are writing a comprehensive RFP:

1. The RFP should provide sufficient information for a bidder to prepare a bid proposal that is responsive to each of the technical, management, and commercial requirements specified in the RFP.

2. The RFP should provide the necessary information concerning contract requirements. When the information from the successful bid...

...Request for Proposal Template A carefully crafted "Request for Proposal" (RFP) is the key to getting the best quality services you require for your project. This tool provides you with guidance and a template for preparing a good RFP. Instructions: 1. The Request for Proposal (RFP) is your "official" statement to vendors about the services you require. Vendors typically try to respond, point by point, to your RFP when they make their proposals. Therefore, the RFP "leads" vendors by focusing their attention on certain issues. In addition, it shapes their first impressions of your training development group and the project to be completed. Most importantly, the RFP is the foundation upon which the vendor's relationship with you is built. 2. For these reasons, the RFP must be carefully crafted and reviewed before distributing it to vendors. 3. This template below provides some suggestions for the contents of an RFP. REQUEST FOR PROPOSAL TEMPLATE A TYPICAL RFP The typical RFP includes the following sections: I. The General Training Goals This section includes the general business goals which are met by the new product or process on which the training will be based. In addition, it describes the key components of the new product or process (how it works) and compares these to existing products or processes with which vendors may be familiar. II. The Target Audiences This includes brief summaries of the jobs of the people who are to......

...Assignment 1: Creating a Methodology Shenita L. Gooding Strayer University BUS 375: Project Management Professor: Dr. James Wise April 22, 2015 ABSTRACT The President of the company, John Compton was angry that he could no longer bid on Requests for Proposals (RFP) because his company did not have a project management methodology. The executives had to initiate the implementation of the project management methodology or the President would do it himself. The methodology had to be completed in six months. According to Whitaker, S., (2014), “methodology is an appropriate, professional, repeatable, standardized, discoverable and documented collection of processes, tools, technique and template for managing projects.” The methodology is what you use to deliver your projects. This paper will explain the factors necessary for a program management methodology. Assignment 1: Creating a Methodology The case study, “Creating a Methodology”, started with the President John Compton expressing that he could no longer bid on Requests for Proposals (RFP). He told the executives that the lack of project management methodology they could not bid on contracts. The President gave the executives six months to come up with the methodology or he would do it himself. The factors about the corporate culture were the behaviors, the lack of planning, scheduling ad controlling work (Wiley, J., 2013, p.109). The corporate culture at play was the behaviors of the executives...

Creating a Metodology

...1. SYNOPSIS John Compton, The president of the company, at the executive staff meeting explained that we are no longer competitive in the marketplace because they have no project management methodology. Most of the Requests for Proposal (RFP) need the companies identify their project management methodology which they will use on the contract. They have just a few templates they use based upon the PMBOK®Guide. The executive staff did not like to develop a methodology and made some excuses for him not to develop a methodology because they are afraid to lose their power and authority once the methodology is up and running. Last year, a consultant was brought to describe the benefits of project management and the value of an enterprise project management methodology (EPM). The consultant explained that the time needed to develop and implement an EPM system can be shortened if the company has a project management office (PMO) in place to take the lead role. In that session, the executive staff became reluctant to visibly support project management since they understood executive gets control of the PMO may become more powerful than other executives. A PMO was formed reporting to the chief information officer. The PMO was comprised of a handful of experienced project managers that could hopefully take the lead in the development of a methodology. The PMO concluded that there were five steps that had to be done initially. After the five steps were done, the executive committee......

...references success stories certifications Writing a bid and particularly a company profile requires preliminary work: Acquaint yourself with the documents. Try to analyze your business from a strategic point of view. Think about all the components and ask yourself if you're the right applicant. If the answer is "yes," you're ready! Why Write a Company Profile for a Bid? Writing a business profile for a bid is useful for introducing your company to the buyer and creating a positive impression. The buyer must know who you are, whether you're the company that best fits to its call for tenders, and if it can trust you. So you've got to be very persuasive and differentiate yourself from the others. Responding to a request for proposal (RFP) is a competition. It's usually the buyer that asks you for information about your business. Do not write too much: it's useless and it could penalize you. But don't forget to provide the company information that the buyer expects. For instance, the buyer may want to know...
