Understanding Manager Roles, Organizational Systems, and Challenges

The Brewery Arts Center, located in Carson City Nevada, is a non-profit organization that brings a variety of artistic endeavors to this and surrounding areas. Taking up 2 city blocks and 2 very old buildings, this organization has an art gallery, art store, and 3 classrooms providing classes for pottery, painting, and one open classrooms for various art classes. There are also two stages for performing and a media center. All of this is under the management of Gina Hill. Aside from Gina there are 3 part-time employees; admin, maintenance, and a production head. Everything else is taken on by volunteers. It is Gina’s job to ensure that this organization continues to grow and provide various types of art to the community.

With a lot of small cities and towns grouped together in Northern Nevada, such as Reno, Tahoe, and Minden there is quite a bit of competition when it comes to getting the attention of not only the immediate area but that of the surrounding area as well. Taking over as head manager two years ago, Gina has been able to pull this organization out of the downward spiral it was in. Keeping track of this progress mainly by monitoring ticket sales and membership numbers, of which have doubled in the last two years. Gina attributes this growth to allowing those that volunteer and become members then get to “drive the mission” as GIna puts it. Using tools such as online surveys, forums, and open meetings to figure out what the next artistic endeavor will be and then letting these people have ownership of it, putting the control in the hands of those she is managing. Other ways that the Brewery Arts Center competes in today’s market is to partner up with other artistic organizations, such as PPI (Proscenium Players, Inc.) and Levitt Foundation, to put on shows both in their buildings and out in the surrounding areas like parks, which then also helps to get their name out there to those that may otherwise have not ran across them. One more way, recently, they have gotten their name out to a wider audience was hosting a TED Talk in one of their theaters. While you can not actually mention the organization, one must stay separate from the other when hosting, the building was mentioned in association to the Brewery Arts Center, bringing more attention to the center. Aside from giving ownership there are other boosting activities that are put on throughout the year to show appreciation for everyone that is putting in the effort to keep this nonprofit up and running. There is an annual membership dinner, yearly anniversary partiers, and this year, being the 40th anniversary, they had a founder’s breakfast where the original members came and were recognized for all the hard work they put in to get the organization off the ground.

With this being a smaller, non profit organization there are not a lot of systems that are in use. In order to stay transparent the main application that is used is Google Calendar. This where all scheduling is done and well as sales as initially placed and keep tract of. Combined with this tool, Vendini TicketAgent®, an online ticket agent, is used to keep track of all ticket sales and memberships. These and Quickbooks are the primary systems used to keep this organization running.

One of the first things noticed by Gina when she first took over her position was the lack of diversity within this artistic community. She herself is of hispanic origin while the vast majority of staff, volunteers, and membership are white. Carson City itself is comprised of a 26% hispanic culture but have yet to be represented within this organization. To help change this the “Arts in the Park” program was launched. Loading up an RV with various art supplies, the center then goes out to lower income communities and opens their doors to welcome anyone to come and create art with them. This outreach is hoping to begin to gain trust from those that may otherwise be completely left out. Aside from diversity, the other cultural issue that the Brewery Arts Center has to be aware of is the historic nature of Carson City and the builds of which they perform in. One having been built in 1856 and the other in 1871, these are both protected by the historical society and must be consulted before any changes are made to them. Aside from the historical elements, the fact that these are old buildings also means that a large percentage of income goes straight into the maintenance of these buildings. Even with this organization being smaller there are still a lot of managerial concepts and tactics that are needed to maintain and continue their growth.
