When To Use Access and/or Excel Microsoft Access and Excel Versions 2010 are very powerful tools designed to improve your productivity as your needs change. With Microsoft Excel it is easy to calculate, design and manipulate data quickly. Access 2010 is the tool to use when your needs require a more fluid relational database that becomes more of an interactive system. When should you use Microsoft’s Excel platform? When you want and need to manipulate numbers. The program allows for you to create sophisticated tables, charts and formulas. Excel is a fairly easy program for even the computer novice to use. Version 2010 has an easy to use menu and online help system that enables you to get the job done quickly and efficiently. For example Excel is a great program to use to create spreadsheets for use in determining sales, employee time sheets and annual reports. Cost-benefit analysis is another great way to utilize the features found in Excel. Excel can be used by more of your friends and co-workers simply because more people are familiar with Excel rather than Access. Microsoft’s Access 2010 is a powerful relational database that is part of the office suite of applications. When should you consider using Access? If users need to add data on a regular basis, have a need to create reports and with Access you have more ways to query data than ever before. Microsoft Access 2010 would be a better choice if you have users that need to access data at the same time. If you need to connect to several data sources and edit the data directly in those sources, then Access is your choice. You can view external data with Excel, but you can’t change that data (Access or Excel). Access is the perfect database program for taking control of those classic albums you have stored away in the closet.

Efficiency in Business

...Subject: Migrating from Microsoft Excel to Microsoft Access Thank you for taking the time in this manner. As the head tutor/assistant manager at Shamrock Tutoring, I have noticed various ways and tools we can utilize in order to increase productivity and efficiency in some of the ways we process information. Currently we are using Microsoft Excel as our knowledge database. This program has proved useful and effective for quite some time. We use Excel to schedule appointments, store clients various information, keep track of tutor hours, marketing, sales, and advertising. I believe our database has outgrown this system and it is getting too difficult to search, access, and store information. There is a better way. Microsoft Access is a much better tool to handle the different forms of information we use at the workplace. While Excel is a great program for storing numerical values and creating lists, Access is a better tool for textual information along with numerical data. With Microsoft Access, we can import our whole database from Excel. We can then create various forms to input new information such as new customer information, new tutor information, and schedule changes to name a few. Searching for information would become more efficient through the use of queries and filters to find exactly what the user is looking for at the time. Updating invoices and developing templates for various other forms would become more productive. I understand changing systems may...

...E&C PROPOSAL Converting data currently held in Microsoft® Excel® spreadsheets into a rational database using Microsoft® Access® can be useful in creating reports. These reports can be run at any time by users. “With Office Access 2007, you can link tables to your database from other Access databases, Excel spreadsheets, Windows SharePoint Services sites, ODBC data sources, Microsoft SQL Server databases, and other data sources. You can then use these linked tables to easily create reports so you can base your decisions on a more comprehensive set of information” (Microsoft Office Access benefits). Access can be used by multiple users working on the data at the same time; even several users can work on the same data at the same time. Access locks in a record only while the user changes it; when users use Excel workbook it can be shared, but users should change data in Excel at separate times for the process to work best. “If you need to connect to several data sources and edit the data directly in those sources, then Access is your choice. Team C will also introduce types of collaborative software; how this software can improve communications and streamline work processes. It is time for something new, something invigorating and inspirational for this business’ organization. Party Plate’s current system is Microsoft Excel. The system is excellent for managing and maintaining data entry information as well as other electronically processed information. Microsoft Excel has allowed our business to control the inventory and regulate the calculations that are constantly occurring during a daily routine. Excel’s spreadsheet program has allowed this company to create and breakdown prices into rows and sections wherever needed for evaluating values and rates for our customers’ orders and suppliers’ productions. Excel allows us to distinguish between the two as well as the many other values that may be involved in the transaction. Errors are easily corrected that may be found after evaluation is nearly complete. The program has been a remarkable system that has enabled us to develop proper skills needed for accurate inventory; however, Microsoft Access appears to be a better target. Microsoft Access is dedicated to the same aspects of Microsoft Excel. Access is recommended because it helps with...

...Microsoft Access can help Party Plates in many different ways. Primarily, Microsoft Access is cost effective and readily available to most business owners in a package for professional use. This program is great for many businesses that need more organization in their sales, production, or finance departments etc. Secondly, this program is compatible with other programs, like Microsoft Word or Microsoft Excel, for ease of access. Being able to import an Excel spreadsheet into the Microsoft Access database cuts down on the amount of duplicate data. Lastly, Access can help with the collaboration of different departments when reporting to higher levels. For example, Microsoft Access can be utilized: to create a profit/overhead report for the President/CEO of the company, to track how much product each salesperson sells for goal setting/keeping, or just to keep track of your employees’ payroll. Overall, Party Plates will benefit from the use of this program. Although Microsoft Excel spreadsheet does not qualify as a database, this application is extensively utilized to hoard data and is habitually employed in working out uncomplicated database tribulations, since it is a flat file database. However, it is very useful to convert data currently held in Microsoft Excel spreadsheets into a relational database using Microsoft Access. First, converting Excel data into a relational database through Access has the benefit of lesser inaccuracies and variations. The significance of...

Efficiency and Collaboration Proposal

...Collaboration Proposal When it comes to running a business, efficiency is important to both the business and the customers. But what makes the business efficient? The most important programs to run in a business are the database systems as well as the collaboration tools. If you are using a program from Microsoft, Access is the best one to use in the business because of its ability to process information using a relational database system. However, the collaboration tool that a business uses is equally important. This tool whether it is an inter- or intra-net type system is critical when working with other team members or employees to process work efficiently and effectively for the business and its customers. While currently at Party Plates we utilize Microsoft Excel, there is good reason to incorporate Microsoft Access as well. On many occasions, you will want and possibly need to take advantage of the benefits that both programs have to offer. For example, you created a spreadsheet in Excel in which you can calculate and analyze the data, and it has become unmanageable due to size and complexity, and now that data needs to be accessed by many more users than you. One example would be to, import or link your worksheet into Access and use it as a database as an option to working with it in Excel. Whether you use excel or access first, the data is always interchangeable you can go from one to the other seamlessly. You can bring data into Access from Excel (and vice versa) by,...
