September 5-6, 2015

STUDENT FACILITATOR’S HANDBOOK
I. Event Description

September is considered the National Science Club Month (NSCM) under Presidential Proclamation No. 264. During the NSCM, the Philippine Society of Youth Science Clubs (PSYSC) conducts activities that encourage the youth to actively participate in the science clubbing movement. Through these activities, PSYSC aims to provide a venue for the interaction of science clubs and to recognize excellence through workshops and friendly competitions. The three (3) main events that will kick-off this year’s NSCM are the National Science Clubs Summit (Summit), PSYSC Science Olympiad (PSO), and I Teach Science Seminar (ITSS).

The National Science Clubs Summit (SUMMIT) is a one and a half-day gathering of high school science club affiliates, conducted simultaneously in different regions. The event is an opportunity for the different science clubs to learn from lectures, workshops, and plenary session. The SUMMIT brings the camp experience closer to our affiliates who are not able to attend the National Youth Science Technology and Environment Summer Camp (NYSTESC). Exciting trademark activities of SUMMIT include Sub-camp Quiz Competition and fun-filled Science workshops. SUMMIT also offers the chance to experience MathSciAKA, an event which provides set of interactive workshops.
Date: September 5-6, 2015 The Philippine Society of Youth Science Club Science Olympiad (PSO) is an inter-school quiz competition for elementary and high school students all over the country. This Olympiad consists of two rounds: (1) the National Eliminations, conducted simultaneously in different regions, which will be a written exam that will challenge the students’ knowledge on various science categories, and (2) the National Finals, which will be composed of theoretical and practical rounds. Prizes would include cash, plaques, medals and certificates.
Date: September 5, 2015 (National Eliminations)

The I Teach Science Seminar (ITSS) is a two-day activity catering to science teachers of affiliated schools. It is an enrichment seminar packed with lectures, workshops, and discussions for teachers featuring ways on how they can make science teaching fun and interactive. This is PSYSC’s way of thanking the teachers for the service they bring to the youth and as well as to the organization.

Summit MathSciAKa
MathSciAKa aims to explore the creativity and innovativeness of every student in the country. PSYSC provides another venue for students studying outside Luzon in developing their interest in Science through Summit-MathSciAKa.
Summit-MathSciAKa is an event during Summit where participants are challenged mentally and physically through fun and educational science workshops which are relevant to some issues in science and technology today. It is composed of two parts: Summit-Engineering Science and Summit-Interactive, the Summit counterparts of Take Home Workshops and Interactive Workshops, respectively.
Summit-MathSciAKa is an interschool competition during Summit. The top scorer in the Summit Engineering Science and Summit Interactive will be awarded. The total scores earned by each Summit-participating School in all Summit-MathSciAKa activities will determine the Summit-MathSciAKa Champion in the site.

IV. Daily Tasks

General Task: * Preparation of the venue and materials for the event * Clear out deficiencies * Staff training * Committee assignment and introduction to tasks

Specific Task:

A. Check rooms * In charge : Accommodations * Ensure that all rooms are clean and ready for occupancy * Ensure that rooms/venue for PSO, ITSS and MSKA are ready * Get all keys * Label rooms * Make a preliminary room assignment for preregistered participants * Refer to checklist for staff inspection
B. Session Hall and Engineering Tasks * In charge : Engineering * Ensure that the session hall is clean and ready for the event (chairs, sound system, others) * Conduct sound test / dry run of AV presentations * Prepare materials for tomorrow (not necessarily set-up) LCD, screen, microphone, computers, place where to set up the display, etc. * Familiarize files in WIMF
C. Food * In charge : Accommodations * Talk with the caterer or concessionaire * Prepare schedule of meals and snack and the menu * Identify place where the staff should eat * Remind concessionaire of the food for guest/s
D. Kits preparations * In charge : Secretariat, facilitators and others done with their work * Sort all kits and prepare them individually, put kits into NSCM bag - id, id clip, handbook, ball pen * Prepare materials for the registration process (refer to registration guidelines)-registration flow, priority numbers
E. Market * In charge : 2 facilitators (if possible, 1 ecat + 1 faci ex. documentation) * Buy all materials needed (candles for pledge night etc.)
F. Workshop * In charge : Facilitators and others done with their work * Prepare all materials for the workshop and sort them per subcamp except materials that are easily lost * Prepare materials for subcamp competition
G. Hosts * In charge : Programs and Sessions * Coordinate with performers if applicable * Make the detailed program for the opening and closing programs * Practice their spiels as hosts * Synchronize script with engg scipt
H. Rounds * In charge : Facilitator Head * Conduct rounds and ensure that above tasks are all done * Let the committee do their assigned work, assist them when they need help

Part IV. CODE OF CONDUCT

* Observe the schedule. Let us be on time and prepared. * Behave appropriately. Be modest in what you wear, act or say. No backbiting, quarrelling and displaying affection publicly. * Do your assigned work. Do what you have to do first before you help other committees. If you are not sure what to do, just ask * Respect everyone. Treat everybody with tact, especially your fellow staff * Be patient. All the time. This activity is one that will test your wits and temper. Always be patient, when tired, irritated, or annoyed-- breathe in, breathe out, then smile. ;) * Be alert. If there's something that is out of line, address it immediately or inform committee in charge. Don’t panic. * Important issues should be addressed to the overseer. Examples of these are questions about finances and affiliations. * Look your best. Avoid the haggard look despite the eyes bags and lack of sleep. Know the borderline between beautiful and vain. * Smile always. PSYSC people are always happy people * Learn and enjoy. Make this a fun learning experience for you.

Important Points to Remember * All staff must stay in the venue starting morning of September 6, 2010 Friday until Sunday after the event * Please bring your own toiletries, sleeping materials and clothes for the event. Preferred outfits are jeans and t-shirt or polo shirt. * You are not allowed to leave the venue during the whole duration of the event. If you wish to go out, please ask the permission of the summit head or the NEC. * Stay with your committee at all times, if possible. If other committees need help, don't hesitate to lend a hand. * If you are in doubt about anything, don't hesitate to ask.
